About the RoleThe Alvarez Firm is hiring for a full-time in-office position that primarily focuses on assisting our Billing Manager but also requires supplemental support in general administrative duties. This position reports directly to the Director of Operations. The ideal candidate is a self-motivated individual with a strong moral compass and strengths in organization and prioritization of tasks, written and verbal communication, and attention to detail.
Billing assistance tasks include, but are not limited to:
- Assist Billing Manager with the billing cycle every month with significant time spent in billing software.
- Interface with clients who are paying their bill by credit card or ACH.
- Enter client costs.
- Email or mail client invoices.
- Enter attorney and paralegal time.
Administrative tasks include, but are not limited to:
- Greet clients and visitors with professionalism and courtesy.
- Answer phone calls to the firm’s main line promptly and considerately.
- Manage incoming and outgoing mail.
- Organize and maintain legal documents, correspondence, and case files in our firm’s main database.
- Prepare conference rooms for meetings scheduled in Calabasas office (make coffee, print/scan any documents needed for meetings).
- Assist attorneys and paralegals with copying, scanning, and general tasks.
- High School Diploma or GED required.
- Familiarity with professional phone etiquette and email communication.
- The ability to be self-sufficient in managing a diverse set of tasks efficiently without direct oversight or prompting.
- Strong interpersonal and relationship-building skills: the ability to maintain positive working relationships with colleagues and clients.
- Accuracy and attention to detail, especially with respect to data entry.
- Comfort handling repetitive and routine billing tasks.
- Ability to prioritize tasks and manage multiple deadlines in an organized manner.
- A strong respect for client confidentiality.
- Prior experience in a billing-related role is strongly preferred but not required.
- Prior experience in a professional office setting is strongly preferred but not required.
- Proficiency with standard programs like Word, Excel, Outlook, etc. is strongly preferred but not required.
