This HR Administrator Role falls within the Human Resources Department.

General Accountability:

Under the guidance and direction of the Director, Human Resources, the Administrator, Human Resources position works with the Human Resources Team;
Directors of Programs, Quality Assurance and Projects and Policy;
Finance and Administration team;
Leaders and Counsellors. This may also include external, and community contacts as required, and others to coordinate the administration, implementation, and planning of core Human Resource functions. Core Human Resources functions include maintenance of the Human Resources Information System (HRIS); recruitment; social events; employee recognition; and identified special projects.

The incumbent works independently and with others to carry out these accountabilities and participates on internal committees as required. There are no positions reporting directly to the incumbent.

Principal Functions and Accountabilities:

In an administrative capacity, and in consultation with the Director of Human Resources, the Administrator, Human Resources is involved with the following functions:

General Administration:
  • Works collaboratively with the HR team and is responsible for the integrity of the HRIS (employee database) acting as a main point of contact with regard to all employee status or type changes including changes to compensation.
  • Works with Leaders to ensure that accurate employee documentation is maintained.
  • Supports the HR Team with HR analytics including monthly reporting.
Recruitment:
  • Supports the Recruiters with the facilitation of shortlisting candidates, New Employee Orientation or Leader orientation meetings and onboarding requirements.
Supports Employee Recognition and Events, Projects and Other:
  • With the HR team, assists to coordinate the annual CLS Gala Award Recognition celebrations, summer BBQ and other social/recognition events with CLS
  • Works with Directors and Leaders to expedite employee recognition letters, employee referral programs, and other related endeavours.
  • Participates on committees, task forces as needed to include:
    Employee Resource Committee and Equity Diversity and Inclusion Committee.
  • Supports larger Human Resource team initiatives including organizational communications, projects and initiatives as required.
Preferred Qualifications:
  • A minimum three years related Office Administration experience is required. Experience in a Human Resources or Financial Services Department is highly regarded.
  • Senior secondary (Grade 12) graduation, coupled with formal post-secondary training in Office Administration or HR discipline is required. A university degree or College Diploma is preferred.
  • Willingness and ability to develop professional skills (such as conflict resolution, employee relations, interpersonal skills) is needed.
  • Excellent written and oral communication and interpersonal skills; organizational and analytical aptitude; and the ability to work as an effective team member are essential.
  • Working knowledge of relevant HRIS Systems, preferably UKG. A high level of experience with the Microsoft Office Suite of products including Word, Excel, and PowerPoint.
  • Ability to carry-out projects from start to finish, a detail-orientation, and demonstrated initiative, creativity and consideration for others when participating in Human Resources functions is essential.
