Summary
BCIT’s Registrar’s Office is seeking two (2) temporary, full-time (1.0 FTE) Admissions Officers. This position processes applications to a wide range of BCIT programs, including preparatory, trades, undergraduate, and graduate programs in both Cohort and Flexible learning. Screens, evaluates and assesses relevant documents and education backgrounds to determine admission eligibility to BCIT. Provides information on admission and educational pathways ensuring an admissions process that is equitable and efficient.
Duties & Responsibilities- Screens and evaluates applicant files and documentation, education backgrounds, and previous academic history according to established criteria to determine admission eligibility to BCIT, ensuring compliance with admissions policies and procedures.
- Reviews, researches and verifies applicant credentials and equivalencies using available databases and sources to assess the application.
- Provides information on admissions process, program admission requirement, fees, admission pathways, prerequisite deficiency and upgrading information to applicants.
- Advises students of transferability of courses and credits to BCIT; determines and enters recognized transfer credits or course credit exemptions for accepted advanced placement and readmitted applicants.
- Liaises, collaborates and engages with internal departments, external agencies and cross‑functional teams to support admissions process and provide feedback on applicant needs. Supports program area by providing evaluations and relevant information to assist in making final admission decision.
- Tracks enrolment activity, maintains waitlists and approved deferrals, and monitors application status and seat availability to support BCIT’s enrolment targets.
- Maintains accurate records of applicant files to support consistent and transparent decision‑making, ensuring that all pertinent documentation, information and correspondence are received, updated and processed on a continual basis.
- Identifies possible instances of applicant misconduct and forwards the information to manager to support investigation.
- Facilitates student registration into programs and ensures applicants fulfill financial and academic requirements within established deadlines.
- Prepares and issues admission communications to applicants.
- Maintains up‑to‑date knowledge in all areas that impact admissions.
- Participates in Records Custodian training and remains current with record keeping practices, policies and procedures (both BCIT and FOIPOP).
- Undertakes related duties as assigned, consistent with the job grade of this position.

Education- Requires the equivalent of full secondary school plus additional specialized training of up to one year’s duration, such as BCIT Certificate or a one‑year full‑time program from a community college.
- Requires two years general experience plus up to two years of practical, current experience in a post‑secondary admissions environment.
- Experience using reporting tools is desirable.
- Knowledge and demonstrated experience with an on‑line student records system, such as Banner.
- Microsoft Office, including Word and Excel, at the intermediate level.
