The RoleWe are seeking a detail-oriented, personable, and highly organized Client Service Associate (CSA). This is a critical "front-line" role where you will support our lead advisors in delivering exceptional client experience. You will be responsible for the administrative heartbeat of the firm, ensuring that client requests are handled with precision and that our office operations run seamlessly.
This position is ideal for a professional who enjoys multitasking in a quiet, focused office environment and takes pride in the quality of their work.
Key Responsibilities- Client Onboarding & Maintenance: Prepare and process new account paperwork; facilitate asset transfers, rollovers, and distributions; and maintain accurate client data in our CRM.
- Meeting Coordination: Schedule client reviews, prepare meeting materials (reports, agendas, and presentations), and follow up on post-meeting action items.
- Technology Management: Assist clients with the Westview App and Black Diamond wealth platform; help troubleshoot login issues and navigate digital document vaults.
- Office Administration: Manage daily office operations, including answering phones, greeting clients, handling mail, ordering supplies, and maintaining digital and physical files.
- Communication: Serve as a primary point of contact for administrative client inquiries, providing timely and professional updates via phone and email.
- Compliance Support: Assist in maintaining firm records and documentation to ensure compliance with SEC and FINRA regulations.
- Experience: 1-3+ years of experience in wealth management, financial services or client service. Current holder or interested in acquiring Series 65.
- Education: Bachelor’s degree preferred, but equivalent professional experience will be considered.
- Technical Savvy: Proficiency in Microsoft Office (Word, Excel, Outlook). Experience with CRM software (e.g., Redtail, Wealthbox) or portfolio reporting tools (e.g., Black Diamond) is a significant plus.
- Impeccable Accuracy: You double-check and notice the small details others miss.
- Strong Communication: You can explain complex processes to clients with patience and clarity.
- Discretion: You understand the sensitive nature of financial data and maintain strict confidentiality.
- Self-Starter: You can manage your own workflow and anticipate the needs of the advisors.
- Team Player: You are a collaborative team member and understand this role is multifaceted.
- Salary: $60,000 – $80,000 (starting salary based on experience; prorated for part-time candidates). This is a W2 position that requires 30-40 hours per week.
