Overview
We are looking for an Executive Assistant for a top media company in Burbank, CA. The ideal candidate will manage complex calendar coordination, travel arrangements, and expense reporting for the Vice President, Director, Creative Talent Pathways, while serving as a key administrative anchor for the broader team. This person should thrive in a collaborative environment, be skilled at anticipating needs, and bring a proactive mindset to keeping operations running smoothly.
Experience supporting senior leadership and an interest in inclusive content and talent pathways are highly valued.
- Pay $33-35/hr – based on experience
- Manage intricate calendars for 2–3 executives, schedule internal and external meetings in collaboration with other assistants and external professionals
- Communicate effectively and professionally (written and verbal) with executives, senior leaders, and across different internal departments and external partners
- Represent the department in a professional manner
- Manage all logistics and event coordination for team meetings, events, and offsites
- Support departmental projects for Creative Talent Pathways and Content Advisement teams, including event management, project management support, email communications, presentations, maintaining databases, and other duties as assigned
- Take proactive steps to anticipate executive requirements and mitigate scheduling or logistical problems
- Maintain organizational documents
- Coordinate domestic and international travel and logistics
- Prepare and submit expense reports
- Take detailed notes during team meetings
- Create presentations using Keynote, PowerPoint, Microsoft Word and other software
- General office management including mail handling, ordering office supplies, and coordinating office guest visits
- Provide back-up support on other administrative tasks and duties as assigned
- 2–3 years administrative work experience supporting multiple executives
- Ability to work independently and proactively solve problems
- Strong organizational skills with attention to detail while handling multiple projects
- Strong communication and time-management skills; able to manage tasks proactively and timely
- Strong computer literacy including Microsoft Office, Microsoft Teams, Keynote, Zoom, Box
- Ability to prioritize, meet deadlines, make decisions, and adjust course quickly
- A sense of urgency and a proactive mindset
- High integrity and discretion in handling confidential information
- Detail oriented with professionalism under pressure
- Positive attitude, proactive, resourceful, and flexible
- Strong people skills and ability to work effectively as part of a team
- Ability to take initiative with limited direction
- Experience at a studio or production company
