Office Administrator/ Coordinator
We are seeking a highly organized and customer-focused Project Administrator to support our operations team. This role plays a critical part in keeping projects running smoothly by providing administrative, customer service, and coordination support across departments. The ideal candidate is detail-oriented, proactive, and comfortable working in a fast-paced environment while managing multiple priorities.
Essential Duties & Responsibilities- Provide administrative and coordination support to Project Managers and Operations teams
- Maintain professional communication with customers and internal teams
- Assist with project setup, billing support, change orders, scheduling, and closeouts
- Prepare and manage customer documentation, proposals, and contracts
- Keep project tracking systems and service boards accurate and up to date
- Support accounts receivable follow-up and complete additional administrative duties as needed
- 3+ years in administrative support
- High School Diploma or Equivalent (required)
- Bachelor's in business (preferred)
- Customer Service driven
- Intermediate skill in MS Office suite
- Valid California driver license
- Proof of Valid car insurance
- Ability to travel within Southern California to job site locations (if needed)
- Ability to work overtime (when requested/needed)
- Punctuality and regular attendance (required)
- Ability to make repetitive movements (motions) of the wrists, hands, and/or fingers, daily
- Ability to walk, bend, stoop, hear, and speak, daily
- Move/Transport items weighing 20 pounds, occasionally
- Stand or Sit for long periods (4+ hours), daily
