To perform the job successfully, the employee must be able to perform each essential duty of the job in a satisfactory manner, with or without reasonable accommodation. The essential duties of the job include the responsibilities, experience, proficiencies, and physical demands described below.
RESPONSIBILITIES- Visitor Management:
Greet and welcome guests upon arrival, direct them to the appropriate office, department, or team member, and help maintain a professional and welcoming environment for all visitors. - Communication Hub:
Answer, screen, and route incoming phone calls using a multi-line phone system. Manage the general office email inbox, respond to inquiries as appropriate, and maintain phone logs to ensure timely return calls and accurate message delivery. - Administrative Support:
Perform clerical duties such as filing, scanning, photocopying, and data entry. Provide administrative support to the General Manager, Operations Manager, and the Sales, Service, and Parts Departments. - Calendar and Scheduling Support:
Assist with scheduling meetings, setting up conference rooms, and coordinating branch events, lunches, customer meetings, and corporate meetings. - Mail and Logistics:
Receive, sort, and distribute daily mail and deliveries. - Facilities and Office Support:
Monitor and restock office supplies and help maintain the reception area in a clean and professional manner. - Bookkeeping Support:
Perform light bookkeeping and financial record‑keeping tasks, including work in File Bound. - Additional Duties:
Perform other related administrative duties as assigned.
- High school diploma, GED, and/or trade school completion in an appropriate field required.
- Proficiency in using office equipment and software necessary to fulfill the responsibilities of the position.
- Strong working knowledge of Microsoft Office, including Word, Excel, and Outlook.
- Experience using multi‑line VoIP phone systems preferred.
- Exceptional verbal and written communication skills, with the ability to interact professionally with a diverse range of clients, vendors, and team members.
- Ability to remain calm, organized, and resourceful in a fast‑paced, high‑volume environment.
- Previous experience as a receptionist or in a customer service role preferred, ideally within the automotive or industrial equipment industry.
- Bilingual proficiency in English and Spanish preferred.
- While performing this job, employee is regularly required to talk or hear.
- Ability to sit or stand for extended periods.
- The position requires the ability to occasionally lift up to 40 pounds.
