PURPOSE STATEMENT:

The primary role of this position is to serve as a crucial liaison between business associates and legal counsel, facilitating the effective management of contract processes and documentation throughout the organization. This position encompasses overseeing the Enterprise's Contract Lifecycle Management systems, ensuring compliance with legal standards, and supporting cross‑functional projects related to contracts, all while providing guidance on legal operations and maintaining the integrity of critical contract data.

The role is a full‑time temporary role. The hours are Monday to Thursday 8‑5 and Friday 8‑1. The role is hybrid due to the applicant must be available to work in person to facilitate document signature. Looking to start a person ASAP and interviews are required for this role.

MAJOR RESPONSIBILITIES:

  • Acts as liaison between internal clients (at all levels of the organization) and attorneys on all legal documents.
  • Responds to inquiries from internal clients regarding contracts (with attorney supervision).
  • Supports additional company projects related to contracts (for example with Finance and Procurement) at various times of the year as needed.
  • Evaluate Legal IS software on the market as available.
  • Stewards and manages the Enterprises Contract Lifecycle Management systems.
  • Counsels business associates on legal operations, including contract review procedures, legal request protocols, and data and documentation requirements.
  • Conducts video and in-person tutorials for internal business associates on using the Enterprises Contract Lifecycle Management systems.
  • Evaluates electronic legal review requests to ensure compliance with data and documentation requirements for effective review and processing.
  • Reviews agreements and associated documents for terms necessary for contract lifecycle management.
  • Controls the input of data used by Enterprise to track all legal agreement expirations and renewals.
  • Oversees integrity and management of critical contract data repository.
  • Coordinates and oversees the execution of all final documents and archival function, ensuring compliance with legal requirements.
  • Creates and generates reports from the Enterprises Contract Lifecycle Management system as requested.

KNOWLEDGE/SKILLS/

EXPERIENCE:

  • Understanding of the structure of legal documents, legal language; legal provisions and the process of preparing documents for signature; strong ability to evaluate contracts, identify key terms and assess compliance with legal and organizational requirements.
  • Excellent verbal and written communication skills for liaising with internal clients.
  • Ability to manage multiple projects, prioritize tasks, and meet deadlines while coordinating with various departments.
  • High level of accuracy in reviewing documents and managing contract data.
  • Familiarity with contract lifecycle management systems and legal information systems.
  • Strong organizational skills to maintain records, track contract lifecycle and manage deadlines.
  • Proficiency in Word, Adobe, Excel and Outlook.
  • Ability to demonstrate professionalism, confidentiality and flexibility.
  • Ability to manage own time effectively and efficiently.
