  • Creates, submits and records a wide variety of financial transactions across all funding sources ensuring compliance with all university, SUNY and state policies and guidelines.
  • Monitors budgets and account reconciliations across all funding sources and resolves all discrepancies. Ensures proper recording of transactions in Checkbooks and backup documentation is retained in central files.
  • Develops relationships with staff in assigned areas to ensure consistent and collaborative customer service. Understands and accurately communicates and explains office and University policies and procedures to customers; provides guidance to unit staff on completion and submission of reimbursement requests via Concur.
  • Utilizes HUB to perform related transactional responsibilities.
  • Monitors the renewal dates for all software, licenses, memberships and contracts and communicates renewal dates a minimum of 4 months in advance to Business Operations/HR Manager; submits final documentation and contracts for purchasing via Shop Blue.
  • Reviews for compliance with all university, SUNY and state policies and guidelines on behalf of the UBO and Associate Provost all Concur or other financial reimbursement request transactions from the campus-wide community requiring Provost approval and, communicates requests for additional information or supporting documentation to various campus-wide support staff. Enters all activity in “Direct Reports Tracking Report” and generates quarterly reports for Provost review and approval.
  • Reviews for compliance with all university, SUNY and state policies and guidelines on behalf of the UBO all Concur or other financial transactions from staff in assigned areas requiring UBO approval and, communicates requests for additional information or supporting documentation to various unit staff.
  • Responsible for maintaining a triage and tracking system for managing incoming/outgoing financial materials to ensure timely processing.
  • Completes and submits Cost Approver/Financial Data Access Request/Change forms for staff within assigned areas and departments as requested.
  • In collaboration with the Business Operations/HR Manager, creates and submits a wide variety of HR related transactions as requested.
  • Acts as secondary HR Partner in Performance Management to track and monitor the status of performance programs and appraisals for staff across assigned areas. In collaboration with the Business Operations/HR Manager, liaises with supervisors and department heads to answer questions and provide support as needed and to ensure compliance.
  • Liaises with new student and/or staff employees to gather necessary information and documentation to submit new employee transactions. Provides supervisors and employees with departmental onboarding or exiting materials/checklists, official position description, and departmental orientation materials and ensures a successful receipt of computer hardware/software on the first day of employment.
  • In collaboration with the Business Operations/HR Manager, maintains student assistant hiring procedures by providing guidance and assistance to all unit supervisors. Develops and maintains accurate lists of all student employees employed in assigned areas and liaises with departmental supervisors to ensure that all positions are properly renewed/terminated.
  • In collaboration with the Business Operations/HR Manager, monitors employee appointment term dates and works with supervisors and department leaders to confirm reappointment, create reappointment letters, assist with permanent appointment dossiers, and associated personnel transactions.
  • Completes and submits Human Resource/Employee Data Access Request/Change forms for staff within assigned areas as requested.
  • Serves as Hiring Manager for recruitment (UBJobs) transactions including, providing support, guidance, training materials and applicant demographic reports to search committee chairs to ensure compliance with university policies and procedures.
