Office Manager (Operations & Finance Focus) Job Summary
We are seeking a highly organized, business-savvy Office Manager to run the day-to-day operations of our office and be the backbone of our company. This is a critical role that directly impacts customer satisfaction, technician efficiency, and company cash flow.
The ideal candidate is proactive, detail-oriented, and understands that timely billing, collections, and communication keep a business alive. This is not an entry-level office role we’re looking for someone who can take ownership, manage moving parts, and help the business run smoothly and profitably.

- Answer incoming calls and serve as the primary point of contact for customers
- Schedule jobs and coordinate daily logistics with field technicians
- Communicate clearly with technicians to ensure jobs are staffed, started on time, and completed efficiently
- Follow up with customers after service to ensure satisfaction and encourage five-star reviews
- Prepare, send, and track all invoices in a timely manner
- Manage collections and follow up on outstanding balances professionally and consistently
- Maintain accurate records of billables, payments, and job documentation
- Monitor cash flow and understand how daily office operations impact the financial health of the business
- Use Quick Books daily for invoicing, payments, reporting, and reconciliation
- Wear multiple hats and assist wherever needed to keep operations running smoothly
- Strong understanding of business operations, billing, and cash flow management
- Quick Books certified (required) with real, hands‑on experience — not just basic familiarity
- Confident managing invoicing, collections, and financial records
- Excellent communication skills with customers, technicians, and leadership
- Highly organized with strong follow through, nothing slips through the cracks
- Customer‑focused mindset with the ability to handle issues calmly and professionally
- Comfortable taking ownership and making decisions in a fast‑paced environment
- Reliable, trustworthy, and able to handle sensitive financial information
- Previous experience as an Office Manager, Operations Manager, or similar role
- Quick Books Certification required
- Experience with billing, collections, and customer follow‑up
- Strong computer skills and attention to detail
- High school diploma or GED (additional education a plus)
