Department Administrator, Jacobs School of Medicine and Biomedical Sciences

Responsibilities

Develop, prepare and monitor departmental budgets which include monitoring expenditures and supervising the maintenance of financial accounts and records. This position will create financial reports that will be given to the Chair of the department as well as the Dean of the School to assist in financial decisions. Monthly and annual statements will be prepared and distributed. Administer all State Operating, Income Fund Reimbursable (IFR), UB Foundation and Research Foundation accounts.

Coordinate all personnel transactions including but not limited to preparation of dossiers for faculty promotion and tenure. Serve as the Human Resources recruitment specialist for the department which advises, helps to recruit candidates and markets the position to ensure full success of the open recruitment.

The remaining portion of this role focuses on providing broad administrative and operational support that ensures the department runs smoothly and effectively. This may include coordinating academic activities such as course scheduling and faculty support, assisting with departmental communications and marketing materials, and helping organize events including seminars, guest lectures, and student-facing programs. The Department Administrator also serves as a key point of contact for internal and external stakeholders, fostering collaboration across the university and ensuring that departmental initiatives align with the School’s mission and goals.
