Facilities Coordinator – Responsibilities

  • Purchasing and procurement for all funds, including Shop Blue, ereq, p‑cards, Amazon, expenditure transfer requests, etc.
  • Tracking and following up with orders placed but not received.
  • Completing receivers for all orders.
  • Backup for food ordering in conjunction with events coordinator.
  • Paying all bills for department.
  • Ordering and maintaining department swag to be given as gifts, for events, and volunteers.
  • Ordering posters needed for events and other needs.
  • Purchase and procurement for p‑card related items (Amazon, etc.) for sponsored funds, in conjunction with RASC finance managers.
Space Rehabilitation and Interior Design
  • Departmental space rehabs: work closely with UB Facilities staff, SEAS Director of Facilities Planning and Management, CSE chair, and external vendors on CSE space design and rehabilitation projects, including design and improvement of CSE office, CSE research lab, and CSE instructional lab spaces.
  • Departmental interior design: work closely with UB Facilities staff, SEAS Director of Facilities Planning and Management, CSE departmental leadership, and external vendors to coordinate CSE public and private spaces' thematic design, artwork, posters, and electronic signage.
Space Occupancy & Key Management
  • Departmental space occupancy management: manage CSE departmental space occupancy assignments, assign employees to office spaces and students to research lab spaces, manage CSE locker sign‑outs in all labs.
  • Departmental key management: manage departmental physical passkey allocation and recollection.
  • Responsible for space inventory survey.
  • Place and track all work orders, and coordinate with facilities.
  • Contracts and maintenance.
  • Department point of contact and organizer for SEAS clean out week.
  • Backup support for room reservations. Respond to cse‑room email when events coordinator is out.
Reporting and Shipping
  • Producing reports for department chair and director of administration regarding space and procurement, and lab funding.
  • Management of department shipping and mail.
  • Coordinating and receiving deliveries of items.
  • Record minutes during faculty meeting, faculty retreat, others as assigned. Maintain repository of meeting minutes, providing copies as needed.
  • Provide support at major department events such as Open house, commencement, demo day if needed.
  • Other duties as needed or assigned.
Funds Management
  • Tracking of ABET funds in SEAS portal.
  • Co‑management of CSE start‑up funds.
