Position Summary

PAM Health At Home (operating as Be Healthy at Home, LLC.) is seeking a professional, organized, and detail-oriented Medical Office Receptionist / Office Assistant to support daily front-office operations.

This role serves as the first point of contact for patients, families, physicians, and healthcare partners. The ideal candidate will foster a welcoming and professional environment while ensuring administrative processes run efficiently and accurately.

PAM Health At Home is seeking a friendly, organized, and detail-oriented Medical Office Receptionist / Office Assistant to join our compassionate team.

In this key role, you will be the first point of contact for patients, families, and providers—helping create a warm, welcoming, and professional environment. You will support daily office operations by managing front-desk duties, coordinating communication, assisting with documentation, and ensuring that administrative tasks run smoothly.

Key Responsibilities
  • Serve as the first point of contact for patients, families, and healthcare partners
  • Create and maintain a warm, welcoming, and professional office environment
  • Manage front desk operations, including greeting visitors and answering phone calls
  • Operate and manage a multi-line phone system with professionalism and efficiency
  • Perform general office duties such as data entry, filing, scanning, answering phones, checking mail, ordering office supplies, and document preparation
  • Enter new patients into the system and update existing patient data
  • Use computerized systems to schedule appointments and maintain accurate patient records
  • Upload notes, maintain document organization, and manage patient report files
  • Maintain an organized filing system for all patient documents and submitted reports
  • Assist with customer inquiries and deliver outstanding customer service
  • Handle incoming and outgoing correspondence promptly and efficiently
  • Provide administrative support to staff members and office management
  • Communicate effectively with doctors, clinical teams, contractors, and other healthcare partners
  • Ensure administrative processes run smoothly to support quality patient care
Qualifications
  • Proven experience in a medical office or healthcare setting with strong clerical skills
  • Proven administrative or office support experience
  • Strong understanding of HIPAA regulations to ensure patient confidentiality and data security
  • Excellent computer skills, including proficiency in Microsoft Word, Excel, and health information management software
  • Strong phone etiquette and ability to manage a multi-line phone system
  • Experience with multi-line phone systems and customer service is advantageous
  • Familiarity with office procedures and basic office equipment
  • Exceptional organizational skills and strong attention to detail
  • Quick learner with strong computer proficiency
  • Excellent written and verbal communication skills
  • Positive, team-oriented attitude
  • Bilingual abilities are highly valued
  • Previous experience as a personal assistant, medical office receptionist, or similar role preferred
  • Medicare and Medicaid experience preferred

This position operates in a professional medical office setting and requires the regular use of standard office equipment including computers, telephones, printers, scanners, and filing systems.
