About the Role
Greater Texas Foundation, located in Bryan, Texas, is seeking to hire a Grants Management Associate. Reporting to the Director of Grants Management, this position is a key contributor to the grantmaking function of the Foundation. The Grants Management team oversees the lifecycle of all grantmaking processes for program staff, grantees, and applicants; ensures compliance and due diligence of grants; provides reporting to senior leadership and the Board;
and maintains oversight over the grants management system.
- Process and track concepts and proposals through intake, review, award, reporting, and close‑out.
- Provide technical assistance to applicants/grantees.
- Conduct due diligence on applicant/grantee financial health, assuring compliance with IRS and foundation‑specific regulations.
- Assist in reviewing proposals with internal review team.
- Assist with coordination of and preparation for the board’s Charitable Activities Committee meetings.
- Create all digital and physical grant files that meet legal, auditing, and foundation requirements.
- Manage intake and distribution of grant reports, verifying all requirements have been fulfilled, information is complete, and contacting grantees to request additional items when necessary.
- Process grants payments and payment letters within grants management system.
- Maintain current grant files and update according to record retention policy as needed.
- Provide reports on grantmaking activities and responses to grant inquiries as requested.
- Support the Foundation’s grants management system, Giving Data, including testing of ongoing enhancements and training for program staff as requested.
- Contribute to the development and continuous improvement of grants management policies and procedures as requested.
- Undertake special projects as assigned.
- Advanced proficiency in Microsoft Office Suite, and ability to learn new applications quickly and navigate multiple platforms.
- Basic understanding of grantmaking and IRS and private foundation‑specific regulations.
- Knowledge of grants management systems;
Giving Data knowledge a plus. - Strong verbal and written communication skills to collaborate both internally across teams and externally with applicants and grantees.
- Proven abilities in analytical, database and reporting skills.
- Proficiency in managing timelines and project deliverables.
- Strong attention to detail and accuracy.
- Strong organizational skills and ability to multi‑task.
- Excellent interpersonal skills – diplomatic, patient, and team‑oriented.
- Ability to work with both supervision and in unsupervised settings.
- Minimum of a Bachelor’s degree required.
- Minimum of three (3) years of experience supporting grants management/grant seeking from private foundations or nonprofit charities and/or nonprofit project management experience.
- This position is a full‑time, salaried, 40 hours/week, exempt role.
- The Foundation’s hybrid work schedule is Monday through Friday from 8:00 a.m. to 5:00 p.m. with staff required to be in the office four days a week.
- This position is an onsite position at the Foundation’s office in Bryan, TX.
- This position does not offer relocation assistance for moving expenses.
- This role requires flexibility to work occasional evenings and weekends for special events.
- Occasional travel is required for conferences and meetings.

Salary range: $73,000 – $85,000 commensurate with experience.
