Position Summary: We have an exciting opportunity to join our team as a Faculty Group Practice Medical Secretary (37.5 hours per week).
Role focus: The Medical Secretary performs administrative and clerical tasks to support daily practice operations, including scheduling patient visits and procedures in collaboration with other areas within the Medical Center, handling patient phone calls, and maintaining efficient provider schedules.
Job Responsibilities- Schedules appointments for visits, treatments, and procedures
- Reviews appointment confirmation responses and manages waitlists
- Communicates with patients about upcoming visits, including instructions, preparation, and forms
- Obtains authorizations for services as needed
- Answers calls and takes messages; routes questions to the appropriate contact in a clear and timely manner
- Handles faxes and mail
- Prepares standard letters and forms as needed
- Performs other duties as needed
- Demonstrates knowledge of patient experience expectations and service standards
- Supports patient access activities (greets patients, collects information, answers questions, directs requests appropriately)
- Answers phones and screens incoming calls; provides information or takes messages
- Maintains cooperative and professional relationships with physicians, nurses, and office staff
- Prioritizes assignments to complete work in a timely manner under changing workload
- Uses appropriate vocabulary and grammar when communicating with patients, physicians, nurses, and staff
- Participates in training staff in registration and office policies; may assist and train less senior staff
- Reviews in-basket messages and patient emails before routing to the provider
- Provides patients with non-clinical instructions for upcoming appointments/procedures
- Promotes use and sign-up of My Chart
- Follows scanning guidelines for importing outside documents
- Reviews waitlists periodically and ensures patients are called and offered appointments
- Reschedules patients when physicians are out or unavailable
- Organizes and distributes mail and faxes
- Maintains general knowledge of the practice/physician specialty including conditions and treatments
- Manages physician calendars including creating and sending calendar invites
- Releases medical records in accordance with HIPAA and practice ROI procedures; documents disclosures in Epic and fulfills requests within a 10-day timeframe
- Processes incoming and outgoing documents via paper and electronic records; scans, uploads, and forwards appropriate information within EPIC
- Completes forms legibly and accurately; routes clinical information to RN, LPN, or licensed provider; secures signatures and forwards documents
- Follows up with the physician on outstanding messages related to patient care
- Answers patient questions to ensure understanding and satisfaction; maintains confidentiality
- Refers surgical and infusion scheduling to Senior Medical Secretary
- Prepares routine memoranda, labels, and correspondence; reviews for accuracy and completeness
- Handles prescription refill requests; locates prescriptions in EMR and routes to RN/LPN/Provider for renewal
- Communicates with pharmacies and patients to clarify prescription questions
- Initiates and follows up on pre-authorizations and appeals
- Manages Patient, Referral and Authorization work queues
- Obtains and documents referrals in EPIC
- Collaborates with other NYU Langone sites to ensure continuity of care
- Remains current on best practices, policies, and protocols
- Maintains cleanliness of personal and patient spaces and restocks supplies as needed
- Provides scheduling instructions and updates to patients; responds to related questions
- Assists with special projects and reports; communicates problems to supervisor
- Performs other duties as needed by providers and supervisor
- Supports a consistent patient and colleague experience following CARES principles
- Greets patients professionally and communicates each step of the care interaction
- Works with colleagues and site management to resolve patient inquiries in a timely manner
