We are seeking a friendly, reliable, and highly organized Receptionist / Front Desk Coordinator to join ourclinic in Brooklyn, NY. This position serves as the first point of contact for patients and plays a vital role in creating a welcoming, professional, and efficient clinic environment. The ideal candidate is fluent in both Russian and English
, has excellent communication skills, and is comfortable working in a healthcare setting.
This role requires strong interpersonal skills, attention to detail, and the ability to multitask in a fast-paced clinical environment. The Receptionist / Front Desk Coordinator will support daily front office operations, assist patients with scheduling and inquiries, and ensure smooth communication between patients, therapists, and administrative staff.
Key Responsibilities Patient Reception & Communication- Greet patients, families, and visitors in a warm, professional, and courteous manner
- Communicate fluently in both Russian and English to assist a diverse patient population
- Answer incoming phone calls, respond to inquiries, and route messages appropriately
- Provide clear information regarding appointments, clinic policies, and general services
- Schedule, confirm, and reschedule patient appointments efficiently
- Manage patient check-in and check-out processes
- Maintain accurate appointment calendars for physical therapists and occupational therapists
- Monitor daily schedules to ensure smooth patient flow and minimal wait times
- Maintain and update patient records while ensuring accuracy and confidentiality
- Assist with intake forms, documentation, and basic data entry
- Coordinate communication between front desk staff, clinicians, and management
- Handle general administrative duties such as filing, scanning, copying, and email correspondence
- Verify patient information and insurance details as needed
- Assist patients with basic insurance-related questions and direct them to appropriate staff when necessary
- Collect co-payments and process payments in accordance with clinic procedures
- Ensure the front desk and waiting area remain clean, organized, and welcoming
- Adhere to HIPAA regulations and maintain patient confidentiality at all times
- Follow clinic policies and procedures to support efficient daily operations
- Assist with additional administrative or operational tasks as assigned
Required Qualifications
- Fluency in Russian and English (spoken and written) is Required
- High school diploma or equivalent
- Strong communication, customer service, and interpersonal skills
- Excellent organizational skills with the ability to multitask
- Professional demeanor and positive attitude
- Previous experience in a medical office, physical therapy clinic, or healthcare setting
- Familiarity with scheduling systems and electronic medical records (EMR)
- Basic knowledge of insurance verification and patient intake processes
- Basic computer proficiency, including email, data entry, and scheduling software
- Ability to learn clinic-specific systems and procedures
