Role Overview
We are seeking a self‑motivated, efficient administrator to join our admin team in the Electronic Assistive Technology Service at the Bristol Centre for Enablement. Located at our Bristol base, you will coordinate with team members and patients across multiple sites in the Southwest region, working collaboratively with clinical and technical teams to facilitate booking of appointments, referral processing, diary management, equipment ordering and receipt for the service.
Responsibilities- Co‑ordinate appointments and liaise with external healthcare professionals, patients, their families and carers.
- Synchronise diaries and arrange work schedules for a busy professional and multi‑disciplinary team.
- Receive incoming requests for repair/replacement of parts and assist in allocation of daily workloads.
- Act as the primary contact point for the service.
- Order equipment, receive and sort incoming stock, and update the electronic database (BEST).
- Maintain the electronic database for stock management, including production of work orders for technical and clinical teams.
- Close completed work orders and log repair details, equipment issued and planned maintenance results.
- Respond to enquiries by telephone or in person, offering information and taking appropriate actions.
- Liaise with health and social care professionals and with patients and their families/carers regarding assessments, repairs and visits to patients’ homes.
- Liaise across all locations on a daily basis and with suppliers for quotations and stock ordering.
- Assist in allocating standard and priority repair calls and in coordinating diaries and workload of clinical and technical team members across all three bases.
- Organise and coordinate home visits for Clinical and Technical staff for assessments, installations, repairs, follow‑ups and reviews.
- Maintain stock levels and locations via the electronic database system, receive parts delivered, accept them and add to stock.
- Type reports, letters and other documentation relevant to the service and attend meetings to take minutes when required.
- Extensive administrative experience within a pressured environment.
- Proficient IT skills.
- Clear and confident communication skills.
The Electronic Assistive Technology Service South West offers specialist assessment, provision and ongoing support of equipment for patients of all ages with a range of medical conditions resulting in physical impairment. The service is delivered by a team of Clinical Scientists, Occupational Therapists and Clinical Technicians, with administrative support at the Bristol Centre for Enablement and smaller bases in Plymouth and Truro.
