The main focus for the Office Administrator functions is that during the period of shift the post holder is responsible for the day to day reception and administration of the Estates Department to North Bristol NHS Trust, ensuring a prompt and professional service at all times; to act as the first point of contact with the Estates department, either in person, by phone or email.
Ensure that all contractor data is recorded, as well as any passes or keys that may be required. The control of the keys and badges will be within the post holder remit, having to keep an exhaustive follow‑up; log the faults/requests and close work orders once the work is completed; provide full administration support in all aspects of the administration and general running of the Estates Department;
monitor annual leave and absences of the trade team. This role also includes liaising with other departments, resolving queries and assisting the Workflow Coordinator and other managers. Data entry is also a fundamental part of the role, with special attention to detail.
- Working knowledge of Microsoft Office i.e. Outlook, Excel, and Word and its application in general administrative environments.
- Working knowledge of web based computer applications e.g. internet searching, online form filling, intranet use.
- Good numeracy and literacy skills.
- Knowledge of NHS policies and procedures.
- Data entry.

- Experience of providing general administration support to a large workforce.
- Experience in following set administrative procedures and processes.
- Experience in working in a busy team environment.

- Experience in using web based applications in an administrative environment.
- Experience in meeting deadlines.
- Proven knowledge of major switchboard services, preferably within an acute hospital environment is an advantage.
- Customer facing/service experience, including call handling.
- Competency with IT and software systems (to include, not exclusive to Microsoft Office), keyboard skills, data collection and entry.
- Effective communication and interpersonal skills with staff at all levels.
- Experience of working in a fast‑paced environment with constantly changing priorities.
- Evidence of a willingness to undertake training as required.
