Job OverviewBand 2 Imaging Reception Admin Clerical Officer
We are looking for an Imaging Admin Clerical Officer/Receptionist to work 12hrs per week Monday & Tuesday 08:00 – 14:00 in the Imaging department based at Cosham
The role will be varied and include attending patients at the Imaging reception desks and receiving phone calls coming into the Imaging department as well as other general administration tasks. Communication is key to this role as you will be providing information to patients, staff and visitors to the hospital.
You will need to be educated to NVQ 2, GCSE level or equivalent, be an excellent communicator, have a good eye for details and excellent attention to detail whilst working under pressure. It is essential that you are able to work well in a team and be able to manage and complete tasks on your own.
Experience and knowledge of the Imaging terminology is desirable and experience in a hospital office environment is essential.
Main duties of the job- Maintain and update accurate patient details including attendance, personal and appointment details on the Computerised Radiology Information Systems (CRIS) and the PAS system (Lorenzo)
- Perform general clerical duties and work within the clerical teams as directed including reception duties.
- Answer general queries regarding appointments and the hospital as appropriate.
- Respond and resolve patient queries where appropriate in line with departmental guidelines.
- Act as first point of contact for patients telephoning the Imaging Contact Centre.
- Confidently deal with queries coming into the department via telephone
- Promote a friendly and welcoming environment for both staff and visitors to inspire confidence in the department and Trust.
- Receive and assist patients and all visitors attending the department in a courteous and professional manner.
- Handle personal and confidential patient related information in a sensitive manner
- Receive and accurately pass on information to relevant personnel/teams.
- Record the relevant information in CRIS and Lorenzo when appropriate
- Ensure that the relevant procedure for booking transport is followed.
- Adhere to appropriate booking rules when rescheduling and cancelling appointments
- Send out appointment letters as and when required.
- Participate in all relevant aspects of Administration
- Ensure any compliments and complaints, from any source, are reported immediately to their Line Manager.
- Form and maintain good working relationships with all linked professionals and colleagues in the department
- Adhere to the Trust and Departmental policies, procedures and guidelines
- These will include:
- Health & Safety
- Quality Assurance
- Infection Control
- Major Incidents
- Dress code
- Sickness absence
- Punctuality etc.
Education Essential criteria
- Educated to basic GCSE or equivalent NVQ2 in Customer Care
- Knowledge of IT systems
Work Experience Essential criteria
- Experience of having worked in a patient/customer focussed environment
- Experience of face to face and telephone duties
- Evidence of time management and prioritising work
Desirable criteria
- Evidence of Imaging terminology
Personal Qualities Essential criteria
- Excellent communication skills
- Good understanding of confidentiality in a hospital setting
- Evidence of multi tasking and working with constant interruptions
