Clinic Coordinator

The post holder will be responsible for booking outpatients appointments according to the Access Policy and to deliver excellent customer care on the telephone.

Key responsibilities include:

  • Organisation of doctors' clinics, including opening, closing, annual leave and ED cover.
  • Answering telephone calls, email queries and booking appointments.
  • Entering and updating patient information on Careflow and managing partial booking lists.
  • Processing patient referrals and uploading e‑RS referrals into Evolve.
  • Maintaining accurate records, ensuring compliance with policies and supporting service delivery improvement.
  • Attending meetings and performing other tasks as directed by the line manager.

Person Specification Knowledge and Experience
  • Clerical / administrative experience, including filing and reception.
  • Experience dealing with the public, both telephone and face‑to‑face.
  • Previous NHS experience.
  • Experience using a Patient Administration System.
Skills and Abilities
  • Effective and polite communication, both face‑to‑face and on the phone.
  • Ability to work under pressure, meet deadlines and maintain accuracy.
  • Team working, adaptability, and initiative.
  • Confidence in handling difficult conversations with patients and families.
  • Strong organisational and IT skills (Microsoft packages).
  • Knowledge of outpatient policies and procedures.
Qualifications and Training
  • GCSE, grade C or above (or equivalent) in English and Maths.
  • Business and Administration Level 3 NVQ or equivalent experience.
Disclosure and Barring Service Check

This post requires a DBS check in accordance with the Rehabilitation of Offenders Act (Exceptions Order) 1975.

Salary: £24,937 to £26,598 per annum (FTE) or pro‑rata for part‑time roles.
