Position: Band 3 Support Receptionist

Overview

Band 3:
Support Receptionist – Front of House Support Receptionist for sites in North and Central Bristol.

Working hours are 09:00 to 17:00 Monday to Friday with no variation. The post holder will cover reception/Post Room duties at SFM West Admin North sites.

Sites include:
Gloucester House at Southmead Hospital;
The Greenway Centre in Southmead, Bristol;
Campbell House, a Central Bristol location behind the Bristol Royal Infirmary; FM Hub, Way St Anne's, Bristol;
Speedwell.

Training will be provided on bespoke systems such as Fast Track Room Booking System.

Responsibilities
  • Provide a central point of contact for the building or site and perform front‑of‑house reception/Post Room duties.
  • Deal directly with members of the public, carers, service users and their families, maintaining confidentiality.
  • Handle general incoming calls, take accurate messages and ensure they are received by the appropriate person.
  • Act as a liaison and contact point for the management team and liaise with other internal and external services.
  • Prioritise and organise own workload, copy and audio‑type letters and reports as required.
  • Maintain an accurate and comprehensible filing system (paper and electronic) and up‑to‑date databases.
  • Co‑ordinate statistical data and general information, keep diaries and provide support to book rooms, collate papers and take notes.
  • Maintain and order stationery supplies, forms and pro‑forma documentation; process orders and maintenance requests.
  • Cover for other secretaries in the team as required and ensure all relevant information is communicated to colleagues and managers.
  • Work within national, local and trust policies, procedures, guidelines and standards.
Qualifications

Knowledge of Mental Health (Desirable)

  • Awareness of mental health issues.
  • Experience of working in a mental health environment.

Skills (Essential)

  • Good IT skills – competent in Word, Excel, Internet, Email, data input and room bookings (training provided).
  • Administrative skills – filing, setting up new systems, taking messages.

Experience (Essential)

  • Able to organise and maintain a busy reception.
  • Strong sense of quality and customer focus.

Pay & Contract

Pay scheme:
Agenda for Change – Band
3. Salary: £24,937 to £26,598 a year pro rata.

Contract:

Fixed‑term, 12 months, Part‑time.
