We are looking for an adaptable, enthusiastic, empathetic and friendly Outpatient Receptionist to join our busy outpatient services. This is a varied and important role, where you’ll be the first point of contact for patients, families, and staff, helping to ensure clinics across Medicine and Surgery run smoothly and patients receive the highest standard of care.

Working across five reception areas within the Trust (locations subject to change), you will provide a welcoming and professional service while also supporting clinical teams with a wide range of administrative duties.

Main duties of the job

Main Duties and Responsibilities

  • Greet and assist patients, families, and visitors in a professional and friendly manner
  • Prepare clinics and ensure patient outcomes are recorded accurately and on time
  • Update and maintain patient records using PAS/Careflow
  • Handle and respond to queries from patients, relatives, and staff at all levels
  • Liaise with clinic coordinators to ensure appropriate patient follow-up
  • Arrange patient transport and liaise with porters when required
  • Manage and action generic email inboxes
  • Chase outstanding queries with departments, teams, and clinicians across multiple specialties
  • Scan clinical and paper documents into Evolve promptly
  • Escalate issues to the line manager when necessary
  • Provide general administrative support to the service
  • Support the training of new team members

  • Ability to remain calm and professional when dealing with challenging situations
  • Experience of dealing with the public, both on the telephone and in person
  • NHS experience
  • Experience of patient administration system (preferably Careflow)
  • Experience in working as a team liaising with all grades to drive continued service improvements
  • Basic knowledge and understanding of RTT pathways

  • Strong organisational skills and ability to manage competing priorities
