Team Administrator
Role Overview
The Admin team is led by the Business Assistant. This full‑time, on‑site position is 37.5 hours per week with flexibility for deadlines, meetings and events. The successful candidate will support directors, manage office operations and assist with IT and finance processes.
Key Responsibilities:
- Support directors across multiple business units with diary management, high‑quality document production and editing (Word, PowerPoint, Excel, PDF) and ad‑hoc requests.
- Respond to tasks set by the Business Assistant, prioritise within shared inboxes and calendars.
- Handle office administration duties: greet colleagues and visitors; manage meeting rooms and room bookings; manage car parking; answer telephone; take deliveries; arrange couriers; answer queries; restock kitchen/stationery supplies; bind and post documents; merge PDFs; arrange outside catering for meetings and events; support meetings and events hosted within the office and externally; general ad‑hoc requests from colleagues.
- Local Computer Administrator duties: remotely configure IT equipment under IT instruction; log all equipment in/out; answer simple queries and IT setup; compile new‑starter packs under guidance from Business Assistant and IT Department.
- Support wider internal initiatives and engagement opportunities within the Bristol office.
- Raise Purchase Orders, complete supplier invoice processes, and other finance related processes within Dynamics
365 finance software.
Essential
Qualifications:
- Excellent task management and communication skills.
- Personable and approachable.
- Excellent knowledge of Microsoft Word, Excel, PowerPoint, Adobe; strong proof‑reading, collating, formatting and sense‑checking skills.
- Ability to learn new procedures quickly and liaise with clients and staff at many different levels.
- High attention to detail and proactive problem‑solving.
- Basic working knowledge of finance processes for invoices, purchase orders and finance software would be beneficial.
