What Success Looks Like In This Job
The purpose of this position is to provide clerical support to sworn and non-sworn members of the Jail Division, Sheriff's Office and to other members of the law enforcement community and the citizens of Adams County. This position performs moderately complex and varied administrative functions. Requires the application of independent judgment, interpretation of applicable policies, procedures, and departmental guidelines.
Examples of Duties for Success- Perform clerical duties i.e., processing incoming mail to the Division Chief and administrative offices, screen phone calls for the Command staff and schedule meetings and appointments for all Command Staff.
- Compile and archive statistical data for Division reports.
- Complete Telestaff rotational assignment changes and update employee information.
- Type memorandums and correspondence for command staff and supervisors.
- Proofread miscellaneous documents for accuracy for supervisors, sergeants, and line staff.
- Create and transcribe highly confidential documents for internal affairs investigation files and other personnel matters.
- Provide support to command staff, supervisors, and employees regarding personnel issues i.e., TRD, leave status, rotational assignments, and appropriate licensing (CDL, notary) etc.
- May provide documentation for County Attorney’s Office for inmate civil actions and request opinion on issues relating to jail operations.
- May collect receipts, reconcile, and verify final county-issued procurement cards statements for Jail Division cardholders.
- May maintain a central depository for Jail Division loss reports, lawsuits and litigation matters, surveys, and revenue reports, i.e., other housing, SS bounty, etc.
- Research and prepare purchase requisitions for budget items.
- Receive, verify and prepare invoices to submit for payment.
- Prepare agenda, attend meetings, transcribe, and disseminate meeting minutes for the command staff and Supervisors meetings.
- Maintain Division employees’ management files.
- Coordinate Division special events.
- May provide coverage during the absence of the Executive Assistant.
- Ensure proper management of gun locker keys.
- Compile quarterly and annual jail reports.
- Facilitate contractor clearances.
- Proficient working knowledge of JMS and PC-Windows, Word, Excel, PowerPoint, Publisher, and JD Edwards highly preferred.
- Ability to type 55 wpm with accuracy.
- Must possess a High School Diploma or GED.
- Three (3) years’ experience in administrative support.
- Two (2) years of college in Business Administration or related field or combination of education and experience equivalent to college education preferred.
