Overview

Responsibilities and Scope- Pull referrals from fax or electronic work queue and log appropriately for tracking purposes. Forward referral to physician for review and approval. If referral is not approved, prepare and mail/fax notification letter to referring provider.
- Once referral has been approved, contact patient to conduct medical history interview and schedule the first appointment. Initiate new patient checklist. Enter patient information into electronic medical record. Verify insurance information for referral purposes as well as patient’s mailing address. Assist patient with special needs requests such as transportation, interpreter needs, etc. Prepare new patient appointment letter and packet; place it in outgoing mail by end of business day.
If unable to reach patient after 2 attempts, prepare and mail notification letter to the referring provider. - Ensure new patient file is complete and ready for patient’s initial appointment. Coordinate retrieval of patient medical files and other appropriate documentation from referring physician and/or current or past providers as needed. Coordinate completion of a patient consent for release of medical information from providers as appropriate.
- Answer, respond and document phone calls, requests and questions from patients per policy in a timely manner. Accurately manage and redirect calls as appropriate.
- Assist with office support as requested, including scanning, filing, etc. Provide backup support for patient check-in/check-out as assigned. Offer support to office staff as approved and assigned by management. Perform other duties as assigned.
- Three (3) years of experience working in a healthcare practice or clinic setting.
- Prior experience with patient scheduling and referral coordination.
- Education or demonstrated proficiency with medical terminology.
- Experience with Electronic Medical Recordkeeping (EMR) systems.
- Effective verbal and written communication.
- Experience working in a customer service capacity.
