Role Overview

The Donor Development & Database Manager plays a critical role in the health and growth of Both Hands’ donor program. This is a new position at Both Hands that will oversee the administrative, technical, and process-driven side of donor development, ensuring our donor data, acknowledgements, reporting, and stewardship systems are accurate, timely, and effective.

Reporting to the Finance & Operations Director, this role serves as the in-house expert on our donor database (Virtuous) and is responsible for managing donor records, gift entry, acknowledgements, reports, automations, and internal processes that support the leadership team. While highly detail-oriented and systems-focused, this role also includes some relational components—particularly in building and supporting relationships with some of our monthly and mid-level donors.

The ideal candidate is organized, tech-savvy, proactive, and thrives on creating structure and efficiency, while also understanding the heart behind donor stewardship and nonprofit fundraising. This is a full-time position located in Brentwood, TN.

Key Requirements Database & Gift Management
  • Serve as the primary administrator and in-house expert for the Virtuous CRM
  • Manage weekly check and gift entry into the database with accuracy and timeliness
  • Maintain clean, up-to-date donor records and ensure data integrity
  • Oversee internal database processes, workflows, and automations
  • Continuously evaluate and improve database structure, tagging, and reporting practices
Donor Acknowledgements & Stewardship
  • Create and manage donor acknowledgements and thank-you letters
  • Ensure timely, accurate, and meaningful donor communication following gifts
  • Implement donor stewardship best practices across all giving levels
  • Support and help manage recurring donor and mid-level donor programs
  • Assist with donor segmentation and targeted stewardship efforts
Reporting & Development Support
  • Pull and prepare donor reports for leadership and development needs
  • Support campaign tracking, donor trends, and fundraising analytics
  • Assist the development team with data-informed decision-making
  • Help maintain consistent documentation of donor development processes
Donor Relationships & Communication
  • Build and maintain relational touchpoints with monthly and mid-level donors
  • Support personalized communication and follow-up as appropriate
  • Serve as a reliable, professional point of contact for donor-related inquiries
Internal Systems & Collaboration
  • Oversee internal processes related to donor data, reporting, and stewardship
  • Collaborate with leadership and communications staff to align donor messaging
  • Assist with special projects, audits, or year-end giving processes as needed
  • Participate in team meetings, prayer, and devotion times
Qualifications
  • Experience working in a nonprofit environment strongly preferred
  • Prior experience in fundraising, donor development, or advancement is a plus
  • Proven experience managing a CRM or donor database (Virtuous preferred)
  • Highly organized, detail-oriented, and process-driven (Type A tendencies welcome)
  • Proficient in Google products and Microsoft Excel (Mail merges, Vlookups, Pivot tables, etc.)
  • Strong written communication skills with attention to tone and accuracy
  • Relational and service-minded, with an understanding of donor stewardship
  • Ability to manage multiple priorities while maintaining accuracy and consistency
