The Trust Administrator will support a Trust Officer in the administration of trust accounts including Special Needs Trusts and Settlement Protection Trusts. This is an ideal position for someone with an understanding of the unique needs of individuals with disabilities, and a passion for ensuring that all clients receive the highest level of care and attention. The Trust Administrator will assist in the day-to-day administration of trust accounts by supporting a Trust Officer.

The Trust Administrator may collaborate on additional tasks, projects, training, and responsibilities as needed.

Key Responsibilities

Administrative Support:

  • Provide day-to-day support to the Trust Officer, ensuring that all tasks and responsibilities are handled in a timely and efficient manner.
  • Assist with completing documents and forms for trust administration including account opening, ongoing trust administration, and account closing in accordance with internal policies and regulatory requirements.
  • Assist with scheduling meetings, maintaining account records, and managing correspondence related to account administration.
  • Assist with tasks related to special assets including real estate purchases, sales, and inspections and ensure proper documentation of special assets.
  • Assist with coordination of fiduciary tax filings.
  • Assist with budget and distribution tracking.
  • Open and adaptable to ad-hoc research requests and special projects, with a hands-on approach to address unique client circumstances in partnership with internal teams.

Client and Beneficiary Support:

  • Serve as a back-up point of contact for the Trust Officer.
  • Provide support to clients, families, and beneficiaries, ensuring that communication is clear, patient, and compassionate.
  • Initiate, verify, and process bill payments, disbursements, and other trust-related transactions in accordance with established procedures and approval protocols.

Account Management:

  • Maintain detailed records for accounts by reviewing records and system information to ensure accurate reporting.
  • Review Trust documents to assist the Trust Officer with account administration.
  • Monitor account cash balances and distributions to ensure proper administration
  • Assist with processing transactions related to the accounts, including disbursements, movement of funds, and account maintenance requests.

Compliance and Reporting:

  • Assist the Trust Officer with completing initial and annual account reviews.
  • Prepare periodic reports for clients, beneficiaries, and regulatory bodies.
  • Work with internal and external partners, accountants, legal professionals, and care managers.
  • Participate in ongoing education and training related to trust administration
Required Qualifications
  • Associate or bachelor’s degree or equivalent experience
  • Strong communication and interpersonal skills, with a particular focus on empathetic, clear communication.
  • Strong attention to detail and accuracy.
  • Ability to handle sensitive situations with discretion and care.
  • Strong organizational and time management skills, with the ability to manage multiple priorities and deadlines.
  • Ability to work independently while also being a contributing member of a team.
  • Proficiency with Microsoft Office Suite (Excel, Word, PowerPoint).
Preferred Qualifications
  • Experience in trust administration, with a focus on Special Needs Trusts or Settlement Protection Trusts.
  • Experience in a related field such as social work, education, non-profit, or financial.
  • Special needs background including education or advocacy
