General Responsibilities:

Will support delivery of Legal services by performing administrative duties assigned, including but not limited to:

  • First point of entry for all Company personnel and clients in need of legal services (responding to in-person, email and phone requests) – role is to receive the needs/ information and promptly convey it to the right person in the Legal Department.
  • Opening, Sorting and Distribution of Mail or incoming documents
  • Sending out mail via US Mail, Fed Ex and U.S. Postal Service.
  • Transmitting documents via fax, email, etc.
  • Coordinating and setting up meetings, phone conferences and webinars
  • Scanning, copying, and faxing documents (operates office equipment)
  • Preparing, revising or editing documents
  • Performs a wide variety of assignments which are typically confidential in nature;
  • Use of technology to accomplish duties (systems, software) – to enter, develop or revise data or documents (letters, tables, reports, presentations).
  • Provides e‑filing for all documents, e‑mails and correspondence in compliance with the document retention policy and the Legal Department’s procedures on e‑filing within Central E‑filing Structure on Legal Department’s drive.
  • Serves as Liaison from Legal to other departments and visitors; resolves administrative problems and answers inquiries concerning activities of department; accepts, screens, and routes telephone calls; maintains log of inquiries as required.
  • Works in a team environment with other administrative personnel to support needs of company, and serves as a liaison with other departments.
  • Complies with administrative processes in Legal Procedure Manual and records new processes as developed.
  • Arranges meetings and conferences, schedules interviews and appointments, and performs other duties related to maintaining multiple individual schedules; makes travel and lodging arrangements.
  • Orders, stocks, and distributes office supplies.
  • Performs basic, routine bookkeeping functions, which may involve simple billing and cash receipt activities, as well as submitting expense reimbursement requests or check requests.
  • General Responsibilities as member of Legal Department:
  • Meet all requirements of HSCGP employees, including adherence to policies.
  • Participate in Legal Department and HSC initiatives, as assigned (examples are review and restructuring of processes and programs as assigned and directed, and other activities to ensure compliance with any new laws/regulations).
  • Support assigned Legal Department functions and programs (e.g., Litigation, Contracts, Corporate Subsidiaries).
  • Respond promptly, courteously and comprehensively to inquiries of Hospitals, HSC Departments and other personnel, outside vendors and counsel, and exercise ability to prioritize needs of these customers.
  • Work collaboratively and respectfully with all Legal Department members, and utilize expertise of those members to accomplish your role.
  • Provide back‑up coverage to other administrative team members in the Legal Department when needed or due to their unavailable.
  • As specifically requested, assist attorney(s) coordinate, track and report continuing legal education requirements to the Tennessee Board of Professional Responsibility.
  • Qualifications
    • High School Degree or Equivalent.
    • 5 years experience as administrative assistant (legal administrative support preferred)
    • Effective verbal and written communication skills.
    • Effective organizational skills and ability to manage multiple projects.
    • Focus on detail oriented work, and ability to work independently.
    • Strong interpersonal skills, including ability to work in a team environment and to collaborate with internal personnel (Hospital Clients, HSC Departments, Legal Department personnel).
    • Word processing and/or data entry skills. Proficient with Microsoft Word, Excel, Adobe Acrobat products, Power Point and database entry/maintenance skills.
