Project CoordinatorThe Project Coordinator assists the Project Managers in all phases of a construction project from selling projects, to estimating and submitting quotes, and finally to organizing and managing subcontractors, materials, inspections and the many administrative aspects associated with the successful completion of a project. Responsible to ensure that critical documentation is prepared, updated, delivered and communicated as required during the various stages of a project.
From time to time will also be required to assist in the preparation of new administrative processes to better project delivery and management. Reports to the Senior Project Manager.
- Distribution of drawing and specification packages for subtrade pricing for review and approval by Project Managers.
- Solicits a minimum of three quotes on materials and subtrades as requested by Project Managers, Construction Manager and/or Site Supervisors.
- Preparation and distribution of project specific documentation including:
- Site status inspection reports to track the progress and quality of work performed.
- Deficiency lists.
- Daily approved time and material site reports for additional work performed by Abcott personnel and/or subtrades.
- Setup and maintain project administration files.
- Invoices time and material projects.
- Attend meetings with Project Managers, clients, consultants and subcontractors.
- Assist Project Managers with negotiating subcontractors, purchase orders, shop drawings and change orders.
- Perform routine visits to site to assist in the preparation of site documentation.
- Coordinate and ensure submittal of completed project closeout documentation.
- Assist the Project Managers in the preparation and issuance of project proposals, RFP’s, tenders, budgets and cash flow projections.
- Assist Project Managers to ensure client’s needs are met in a timely and cost-effective manner.
- Communicate ideas for improving company processes with a positive and constructive attitude, and developing this attitude in others.
- Keep Project Managers informed about project status and issues that may impact client relations and project delivery.
- Provide assistance and support to Site Supervisors.
The Project Coordinator will assist the Project Managers to ensure the successful completion of a project is carried out in a professional and timely manner by managing the administrative aspects of a project and to minimize the company’s exposure to risk. Effective communications, both written and verbal, on multiple projects are key to this position.
