The Project Coordinator plays a key role in operational support across multiple facets of the community development process. This position provides essential coordination across financial, administrative, and design review functions —including accounts payable, builder fee collection, architectural review management, and day‑to‑day project administrative support.
The ideal candidate is detail-oriented, highly organized, proactive, and thrives in a collaborative environment where flexibility and teamwork are essential.
Key Responsibilities- Accounts Payable Coordination:
Process vendor invoices, verify accuracy, code expenses, and oversee payment records to ensure timely payments. - Lot Closings & Builder Fee Oversight:
Coordinate builder lot closings and track and manage builder true up and marketing fee collection, maintain accurate records, and communicate with builders, title companies and attorneys to ensure compliance and timely remittance. - Architectural Review Administration:
Serve as the liaison for architectural review submissions, distributing materials for review, and tracking approvals and correspondence with builders, property manager, and homeowners. - Administrative Support:
Provide general administrative and operational support for the community development team, including scheduling, document management, correspondence, and other duties as requested. - Human Resources:
Provide administrative support for human resources functions, assisting with recruitment,employment screenings, onboarding and record management. - Recordkeeping & Reporting:
Maintain organized digital and hard copy files and assist with project reports and summaries if requested. - Team
Collaboration:
Work closely with internal development, marketing, construction, and accounting teams,as well as with external partners, builders, and consultants. - Special Projects:
Assist with special projects, community events, and other tasks assigned to support the overall success of the community.
- Education:
Bachelor’s degree required (Business Administration, Real Estate, or related field preferred). - Experience:
Minimum five years of relevant experience in project coordination, construction administration, real estate, or a similar field, with knowledge of accounting processes. - Technical
Skills:
Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint); experience with accounting or project management preferred. - Communication
Skills:
Excellent written and verbal communication; strong interpersonal skills with the ability tobuild and maintain positive relationships with internal teams and external partners. - Personal Attributes:
Highly organized, detail-oriented, adaptable, and proactive; able to manage multiple priorities and deadlines. - Team Player:
Flexible, team oriented and self-driven, with the ability to support cross-departmental initiatives,adapt to evolving project needs, and work independently to meet deadlines. - Notary Certification:
Notary public certification preferred or willingness to obtain.
