Our client is a well-established and growing construction services firm specializing in complex infrastructure, specialty coatings, municipal/industrial projects, and water/wastewater treatment plant construction. They serve public and private sector clients with a strong reputation for quality, safety, and operational excellence.
Our client is seeking a highly organized and detail-driven Estimating Coordinator & Executive Assistant to the CEO
. This unique dual-role position supports both the estimating department and executive leadership. The ideal candidate is proactive, analytical, and comfortable working in a fast-paced construction environment.
This is an excellent opportunity for someone who thrives on organization, enjoys working with numbers and documentation, and wants direct exposure to executive-level operations.
Key Responsibilities- Support the estimating team in preparing competitive and accurate project bids.
- Coordinate the collection of subcontractor and supplier pricing.
- Maintain bid logs, cost databases, takeoffs, and estimating documentation.
- Assist in compiling proposals, scope summaries, and cost breakdowns.
- Track deadlines to ensure timely and compliant bid submissions.
- Communicate with vendors, subcontractors, and internal project teams.
- Identify opportunities to improve estimating workflows and tracking systems.
- Provide high-level administrative support, including calendar management, scheduling, and correspondence.
- Prepare reports, presentations, meeting materials, and executive summaries.
- Assist with business development tracking and client communications.
- Support internal project reporting and performance tracking.
- Coordinate meetings and help facilitate cross-department communication.
- Handle sensitive and confidential information with discretion.
- 2+ years of experience in construction estimating, project coordination, executive support, or related field.
- Experience in construction, infrastructure, or industrial environments preferred.
- Strong proficiency in Microsoft Office (especially Excel and Word).
- Familiarity with estimating or project management software is a plus.
- Ability to read and interpret construction documents preferred.
- Exceptional organizational and time-management skills.
- Strong written and verbal communication abilities.
- Self-motivated, detail-oriented, and able to manage multiple priorities.
- Competitive base salary of $65,000 – $85,000
