The Staff Accountant will support key accounting functions including billing, accounts payable/receivable processing, trust-related accounting for real estate closings, general ledger maintenance, reconciliations, and preparation of monthly financial reports.
This position works closely with a Senior Accountant and will provide backup support in several areas. Ideal for someone who enjoys a mix of transactional accounting and month‑end responsibilities in a structured, fast‑paced environment.
Key Responsibilities
First Half of the Month
+ Assist with monthly billing cycle (750-800 invoices) alongside Senior Accountant.
+ Support trust accounting activities for real estate closings:
+ Monitoring incoming wires
+ Handling trust distributions
+ Balancing trust accounts
+ Enter outgoing wire transfers.
+ Process and prepare check requests for AP (AP Clerk/Senior Staff will enter invoices).
+ Support AR activities such as posting payments and researching discrepancies.
+ Assist with Marketing GL and AP GL items.
+ Provide GL coding for AP expenses.
+ Assist with cash disbursements, including chargebacks and monthly recurring expenses.
+ Respond to client questions regarding credit card payments and account charges (with Senior Accountant guidance).
+ Serve as backup to Senior Accountant, and vice versa.
Second Half of the Month
+ Reconcile general ledger accounts and bank accounts.
+ Prepare components of the monthly financial packet and assist in assembling board reporting materials.
+ Assist with bi-weekly payroll processing (initially handled by Martin; may transition later).
+ Work with high-volume and high‑value transactions with accuracy and confidentiality.
+ Maintain and update attorney billing rate information; understand hourly billing concepts.
+ Review and complete hand-billed items, performing follow‑up research as needed.
+ Submit daily check register.
+ Set up new vendors and assist with vendor validation, including 1099 documentation.
+ Support yearly 1099 processing.
+ MS Office Suite (Excel proficiency required)
+ Tabs Practice Master - Billing, Accounting, AP, GL modules (cloud-based)
+ iManage (cloud)
Top 3 Technical Must-Haves
+ Billing or high‑volume invoice processing experience
+ GL reconciliation experience
+ AP/AR processing and vendor management familiarity
Requirements
+ Experience in professional services or legal environment a plus
+ Bachelor's degree in Accounting, Finance, or related field preferred (or equivalent experience)
