The Service Coordinator plays a vital role in ensuring the smooth and efficient handling of service-related operations between builder partners, homeowners, service technicians, and vendors. This individual will manage communications, coordinate parts and materials, process work orders, and maintain up-to-date scheduling within multiple systems. The ideal candidate thrives in a fast-paced environment and demonstrates exceptional organizational and communication skills.
Key Responsibilities- Customer & Partner Communication
- Respond promptly and professionally to all incoming emails and phone calls from builder partners and homeowners.
- Provide friendly, knowledgeable assistance and ensure a oficio customer experience.
- Service Coordination & Order Management
- Collaborate closely with service technicians to identify correct parts, materials, and pieces needed for each project.
- Utilize vendor systems to accurately order required parts and ensure timely delivery.
- Research historical orders to verify and provide accurate ordering information for replacement items.
- System & Data Management
- Process and manage work orders within TNT’s ERP system, Agility.
- Maintain and update TNT’s field management platform, Zuper, with current job and scheduling information.
- Continuously confirm, adjust, and communicate service scheduling updates to all stakeholders.
- Warranty & Documentation Handling
- Submit and manage warranty claims with vendors, ensuring all required paperwork and documentation are complete and accurate.
- Work efficiently across multiple software platforms, vendor systems, Svens in on tools.
- Adapt quickly to evolving priorities in a high-volume, fast-paced work environment.
- Basic knowledge of general office procedures, computers and other equipment. Experience with Microsoft Applications including Excel, Outlook and Word. referred to,
- High School Diploma or equivalent required.
- Ability to meet and exceed deadlines.
- Ability to understand, follow and transmit written and oral instructions.
- Strong verbal and written communication skills.
- Excellent organizational abilities and attention to detail.
- Experience with ERP systems (preferably
Agility
) and field service platforms (
Zuper
a plus).əb>
Proficiency with vendor portals and ordering systems. - Ability to multitask and prioritize effectively in a dynamic environment.
- Previous experience in service coordination, construction, or building materials industry preferred.
