The Development Coordinator, Institutional Giving provides primary support for foundation and government fundraising programs, administrative assistance for the corporate giving program, and stewardship support to the Development department at large, as well as other special projects as assigned.
The Development Coordinator, Institutional Giving contributes to a culture of collaboration, community, and respect while embodying the principles of ICA’s Quality of Service, and centers the work of Diversity, Equity, Accessibility, Inclusion, and Belonging in all areas of their work.
Working at the ICA- Support institutional proposal development and reporting inclusive of reviewing guidelines and templates, drafting narratives, and assembling and designing attachments, among other related tasks.
- Under the direction of the Director of Institutional Giving, coordinate with department representatives from across the museum to gather internal data for grant proposals, reports, and general use by the Development department.
- Research and collect external data to support proposals and reports.
- Execute gift coding and database management, including maintaining records for actions, contacts, notes, and plans, with a particular focus on institutional relationships.
- Maintain administrative systems related to foundation, government, and corporate giving.
- Ensure proper donor acknowledgement.
- Respond to prospect research requests, including priority contact and field-based research.
- Maintain the integrity and confidentiality of financial data, correspondence, and other donor and institutional data.
- Work in collaboration with other ICA Development department Coordinators.
- Provide support at special events, requiring occasional evening and weekend work availability.
- Other duties as assigned.
- Bachelor’s degree or equivalent experience required.
- 1-2 years of professional experience in an office environment; professional experience in a non-profit, museum, gallery, or a fundraising department a plus.
- Interest and enthusiasm for the arts, the ICA’s mission, and the development field.
- Superior research, writing, editing, analytical, and communication skills; ability to strategically adapt information for varying contexts.
- Precise attention to detail and ability to manage deadlines and multiple responsibilities simultaneously.
- Ability to work collaboratively and communicate with cross-functional teams across the ICA.
- Tact and discretion managing sensitive information.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint)
- Familiarity with Canva preferred, but not required.
- Familiarity with Tessitura or similar fundraising database preferred, but not required.
- Availability to work occasional evenings and weekends.
- Prolonged periods of remaining stationary such as when working on a computer, and speaking on the phone.
- Ability to listen and talk for extended periods in person, over the telephone and computer.
- Possess mobility to work in an office setting and use office equipment, move about throughout the museum, and travel to offsite meetings when necessary.
- Must be able to exchange accurate information with donors and other constituents.
- Ability to lift up to 15 pounds, pushing and pulling, keyboarding and gripping.
