Operations ManagerSupports the daily operational, financial, and human resources functions of NEMPAC, ensuring that systems, facilities, and administration support the school’s mission and growth. Reports to the Executive Director and works collaboratively with the Education Team and Student Registration CRM. A people‑centered, systems‑oriented professional balancing financial oversight, operational logistics, and human support in a dynamic, arts‑based nonprofit. Hybrid position: four days in person, one remote day.

- Accurate, timely KPIs and reports on enrollment, program impact, and organizational growth.
- Front‑of‑House operations staffed in North End and Charlestown headquarters.

- Bi‑weekly payroll processed efficiently and accurately.
- Volunteer community feels supported, included, and informed of opportunities.
- Internal processes and policies refined for efficiency.
- Contracts, leases, and vendor agreements reviewed, renewed, and maintained proactively.
- Outreach sustainability cultivated through school partners and community collaborations.
- Manage onboarding and off‑boarding for approx. 8‑10 staff and 45‑50 faculty.
- Onboard faculty through ASAP Connected and iSolved; enroll staff in benefits.
- Oversee 401(k) benefits integration and administration.
- Support faculty and staff retention, engagement, and professional development.
- Update HR policies, contracts, and handbooks annually with Executive Director.
- Participate on DEIB committee to advance organizational equity goals.
- Manage and execute vendor and community partner contracts.
- Serve as HR resource for workplace well‑being and conflict resolution.
- Oversee internship program with Success Link and City of Boston Office of Youth Development.
- Manage Band of Volunteers newsletter, tracking, and quarterly touch‑points.
- Execute bi‑weekly payroll with finance assistant.
- Oversee weekly bank deposits and accounts payable/receivable.
- Open, sort, and distribute daily mail.
- Participate in decision‑making for day‑to‑day operations.
- Oversee bookkeeping, contractor relationships, and legal accounting.
- Process bills and maintain aging student accounts.
- Participate in Finance Committee for budgeting, forecasting, and reporting.
- Coordinate facilities maintenance and instructional space scheduling with Education Team.
- Assist in annual fundraiser event execution and technology needs.
- Administer organizational systems (ASAP Connected, CRM, etc.) and ensure data integrity.
- Manage front‑of‑house calendar for peak operating hours.
- Align operations with programming goals across departments.
- Maintain calendars and logistics for board and staff meetings.
- Support grant reporting with accurate financial documentation.
- 2‑3+ years of technology and administration experience.
- Exceptional organizational skills and independent work ability.
- CRM expertise and problem‑solving abilities.
- Demonstrated customer service experience.
- Proficient with Google and Microsoft Office products.
- Strong attention to detail and following detailed instructions.
- Excellent written and verbal communication.
- Comfortable greeting and interacting with students, families, and constituents.
- Ability to work occasional nights and weekends for events.
- Positive attitude, ambition, creativity, willingness to learn, and passion for making a difference.
