Position: New Business Intake (NBI) Specialist

Shipman & Goodwin, LLP is seeking a New Business Intake Specialist, resident in our Boston office. The New Business Intake Specialist will be responsible for (i) the end-to-end internal intake workflow for new clients and matters by gathering required data from requesting attorneys and practice teams in the Boston office; (ii) the coordination and analysis of conflict checks and production of due diligence with respect to the same;

and (iii) the supplemental support of the New Business Intake (“NBI”) team in non-Boston NBI matters. The Specialist will review and analyze new client and matter workflows to ensure data integrity and assure that Firm matters are being opened in accordance with Firm policies and procedures. Additionally, the Specialist will assist the Firm in complying with its professional responsibility obligations, ethical and legal duties in support of the Director and the General Counsel.

Pay range for this role is: $40.87-$48.08/hour ($85,000 to $100,000/year)

Position Responsibilities
  • Partner with requesting attorneys to fully understand client and matter dynamics in proposed representations in advance of population and submission of File Opening Workflow (Intapp)
  • Intuit and ascertain necessary parties based on the scope of a prospective matter, detailing party roles with specificity and decide if a proposed representation is covered by an existing engagement or requires a new engagement
  • Review all conflicts checks submitted for accuracy and completeness (i.e., ensuring all parties are included, based on context of proposed clients and matters).
  • Perform conflicts checks against conflicts database; synthesize results to produce only information relevant to the proposed representation, in accordance with relevant Rules of Professional Conduct for Current and Former Clients.
  • Perform research in Westlaw and other databases to confirm potential client identity, identify subsidiaries and affiliates, and assess creditworthiness based on a variety of factors.
  • Perform Data Quality Control checks on all NBI workflows to assure accuracy and consistency with Firm guidelines, including rate verification, fee arrangement verification, bill group verification.
  • Serve as primary point of contact for NBI questions and issues in the Boston office and as liaison of the Boston office to the rest of the NBI team.
  • Work collaboratively with attorneys, paralegals, legal practice assistants and all of the Firm functional areas involved in NBI and conflicts checking, including the Firm’s Finance Department, General Counsel, Practice Oversight Committee, Marketing Department, Information Governance Department and Director of Research Services to assist in the resolution of issues related to the NBI process/workflow and to help develop best practices related to the new business intake process.
  • Assist on the creation and execution of conflicts checks on potential lateral attorney hires.
  • Ensure all Firm procedures and policies are accurately followed before new clients or matters are opened.
  • Assist with developing and delivering staff training on conflicts and NBI processes and procedures.
  • Research unidentified mail and route for delivery.
  • Provide support on all phases of Matter Maintenance tasks.
  • Work independently on assigned projects, identifying and utilizing the most efficient methods and software applications.
Skills & Experience Qualifications
  • Bachelor’s degree strongly preferred.
  • Paralegal experience a plus, but not required.
