What You’ll Do

The Operations and Quality Specialist plays a central role in strengthening health center performance, maintaining quality standards, and supporting smooth operations across all PPLM sites. They work closely with both clinical and administrative teams to streamline processes, enhance front‑office efficiency, and assist with onboarding non‑licensed staff. The role also provides key project management support, helping leaders prepare for audits, accreditation reviews, and the rollout of medical standards and guidelines.

This specialist ensures that policies and procedures are clearly communicated, consistently implemented, and reinforced across locations. Success in the position requires strong organization, attention to detail, the ability to juggle multiple projects, and comfort collaborating with diverse teams while traveling between centers.

This is a hybrid role, with a typical schedule of two remote days and three in‑office days each week across our service area, which includes four health centers in Boston, Worcester, Marlborough, and Springfield. In‑office days are generally planned in advance, with occasional adjustments based on training needs, coverage, or operational priorities.

Your Day to Day
  • Coordinate onboarding for licensed and non‑licensed staff, ensuring smooth setup of tools, access, and workflows.
  • Reinforce operational and EPIC workflow standards to support consistent front office and clinical operations.
  • Provide onsite coverage and leadership support during staffing gaps or peak demand, including travel to health centers.
  • Assist with audits, inspections, accreditation preparation, and rollout of Medical Standards and Guidelines.
  • Support centralized scheduling, maintain organized documentation, and draft clear operational communications.
  • Partner with managers to identify operational gaps and coordinate follow‑up training or support.
  • Spread head to cross‑departmental projects using project management expertise.
Qualifications
  • High school diploma or equivalent required.
  • Project Management Professional certification preferred.
  • Experience supporting operations, quality, training support, project coordination, or administrative work in a health center setting preferred.
  • Strong organizational skills with the ability to manage multiple priorities.
  • Comfortable working in a fast‑paced environment with frequent changes.
  • Excellent written and verbal communication skills.
  • Strong follow‑through, reliability, and attention to detail.
  • Ability to build trust and communicate clearly with clinical and non‑clinical staff.
  • Proficiency with Microsoft Office suite and ability to learn new systems quickly.
  • Experience with EPIC or another electronic health record system preferred.
  • Ability to lift and move boxes of forms and supplies as needed.
  • Commitment to reproductive health care, patient experience, and equity.
  • Demonstrated ability to work with individuals of diverse races, ethnicities, genders and backgrounds.
Physical Requirements
  • Ability to lift 30 lbs. and move efficiently throughout the health center.
  • Ability to bend, reach, and respond to patient care needs.
  • Oral, auditory, and visual ability to ensure effective patient communication.
