Overview

When you join the growing BILH team, you’re making a difference in people’s lives. The Cardiovascular Medicine Division provides high-quality care, supports the educational mission of academic medicine, and advances cardiovascular research. The Administrative Assistant II will rotate support between the East Campus Echocardiogram/Cardiac MRI Front Desk and the West Campus Echocardiogram/Stress Lab Front Desk. The schedule is Monday through Friday, 7:30am to 4:00pm, with potential for a hybrid schedule after 6 months of satisfactory performance (up to 2 days remote).

Responsibilities
  • Provide administrative support to physicians in clinical practice, academic and research roles.
  • Answer and screen telephone calls, take messages, greet and direct patients, families, visitors and staff; respond to requests in a timely, accurate manner within scope of knowledge and authority.
  • Update patient demographics and insurance information; obtain specialist referrals for appointments; schedule patient appointments using scheduling tools; coordinate ancillary appointments and procedures with other hospital staff.
  • Obtain patient information and materials from referral sources; prepare and maintain patient records; act as liaison with other departments and external customers; handle confidential information and explain policies as needed.
  • Collect co-payments at point of service; coordinate billing tickets; forward tickets to billing staff and reconcile end-of-day collections per established protocol.
  • Maintain physicians’ clinical and administrative schedules; type correspondence and manuscripts; transcribe letters and patient notes; facilitate use of clinical computer systems; prepare and distribute routine reports.
  • Notify, confirm, and remind patients of scheduled appointments via letters or phone calls; obtain authorization for radiologic exams as needed.
  • Sort, copy, file, and distribute mail and correspondence; support special projects and process improvement initiatives as requested.
Qualifications Required
  • High School diploma or GED required;
    Associate’s degree preferred.
  • 1–3 years of related work experience.
  • Experience with computer systems, including web-based applications and Microsoft Office (Outlook, Word, Excel, PowerPoint, Access).
Preferred
  • Healthcare experience.

Physical Nature of the Job
  • Sedentary work; occasional lifting/carrying up to 10 pounds; predominantly sitting with occasional walking and standing.
Pay Range

$21.00 – $28.26 per hour. The base hourly wage range the organization reasonably and in good faith expects to pay for this position. Actual compensation determined by factors including experience, education, certifications, geography, and job responsibilities. Additional pay practices may apply per policy and law.
