Practice: Primary Care Concierge Practice in Back Bay
Reports to: Executive Director
Personal Health MD is a growing concierge medical practice in Back Bay Boston, providing a personalized practice model combining medical excellence with caring from the heart. We are seeking a passionate and welcoming individual to be our Front Desk Coordinator at our newly renovated facility on Boylston Street in Back Bay Boston.
About the Role
As the Front Desk Coordinator at Personal Health MD, you are coordinating patients and calls from our front desk, and are the first point of greetings and energy of the practice. Ideally, you are a dynamic, outgoing, and respectful individual who thrives in energetic conversation with patients/clientele. You are also a detail-oriented and creative thinker who can problem-solve on the spot.
Sometimes, different urgent care appointments will need to come in to see their physician, you would ideally be able to navigate these changes with grace, while making all patients in our spaces feel welcomed and unrushed. The front desk area and waiting room is a place of relaxation from the busy Back Bay streets. A patient s visit with their physician should be logistically smooth and unrushed, as their care is of our utmost responsibility.
There will be low volume high touch communication between the Doctors, Member Patients, and the Staff Team in a leading concierge medical practice in Back Bay.
You will provide in-office administrative support to the Medical Director and Practice Manager as well as the front desk patient interface for incoming and established patients with a creative eye towards optimizing the Member experience. You are an integral part of their care. This role combines member patient communication including first greetings; relaying crucial information with precision and empathy; maintaining records;
taking notes at meetings; and projects as required or desired.
Preferred Career
Experience:
- Luxury Hotel or Boutique Hospitality – Front desk, guest services, concierge, or administrative roles in high-end hotels or private clubs.
- High-End Residential Concierge – Experience in upscale residential buildings, private estates, or membership-based hospitality settings.
- Hospitality Administration or Management – Roles that required overseeing operations, guest relations, and premium client service.
- Sales, Client Relations, or Marketing – Experience in roles that emphasize high-touch client communication, brand presentation, and relationship management.
Key Requirements of Candidates:
- Excellent written, verbal, and interpersonal skills
- Empathic with high emotional intelligence and life experience
- Strong attention to detail and excellent organizational skills
- The ability to multi-task and problem solve on the spot
- Engaging and intelligent phone etiquette demeanor
- Microsoft applications proficiency required
- Follow medical privacy HIPPA compliance guidelines
- Other administrative tasks and projects as needed, or wanted
Daily Responsibilities:
- Coordinating Physician and practice schedules
- Answering phones, routing calls
- Managing front area and waiting area logistics
- Opening the practice
- Checking demographics and insurance
- Special projects – Marketing, Branding, Growth, Demographics Analysis
- Sending check-in and physical reminder emails to patients

Schedule: Full-Time, 7:30am-3:30pm, in-person at our Back Bay practice.
Pay: Hourly pay range of $25-$30. Based on Experience. Bonuses based on yearly performance.
