PositionThe Practice Assistant II provides both clinical and administrative support to multiple surgeons in the Division. Responsibilities include patient appointment and OR scheduling, clinic support, ensuring appropriate insurance referrals and authorizations are in place, surgeon calendar and meeting scheduling support, and other administrative and clinical support duties as assigned.
Job SummaryScheduling:
Schedules and confirms patient appointments, procedures, and surgeries using appropriate information systems.
Clinic:
Proactively works with clinic staff to ensure they have sufficient information for patient encounters, including outside medical records. Engages with other departments/hospitals to coordinate services as needed. Monitors daily schedule and exam room utilization, communicating with clinicians and patients/visitors to set expectations and maintain efficient flow. Oversees scanning/maintenance of electronic medical records.
Finance & Billing:
Obtains, verifies, records and processes required patient demographics, referrals, authorizations, and insurance/payment information. Collects, compiles and forwards co-payment/payment/reimbursement documentation to appropriate internal parties. Serves as liaison to BWH billing vendor and insurance companies, addressing billing questions/issues as they arise.
Planning & Administration:
Provides administrative support including composing correspondence, completing forms, retrieving and delivering patient records, and completing travel arrangements for physician. Maintains physician’s calendar, facilitating meeting planning and scheduling.
Communication:
Greets patients and directs visitors. Responds to requests for routine information or assistance within scope of knowledge.
Divisional & Other Duties:
Attends Trauma/Burn/Surgical Critical Care staff meetings and practice team meetings, team huddles, and other meetings as requested; participates in meeting roles. Supports divisional initiatives as they are implemented. Regularly reviews Department of Surgery, Division of Trauma, Burn and Surgical Critical Care, and individual performance metrics, and works toward improvement goals. Performs other duties as assigned.
External Qualifications
- High school diploma or GED required; post-high school education preferred.
- Minimum one year of applicable work experience required.
- Additional training in office systems preferred.

Technical skills:
- Knowledge of practice operations and standards.
- Understanding of procedures including filing, copying, scanning, printing, and faxing.

- Ability to use phone system (answer and screen calls, put on hold), answer routine questions, and give routine information.

- Ability to interpret information as appropriate, answer routine questions in a professional manner, and communicate clearly and courteously.

- Ability to correspond and communicate clearly in writing (via e-mail, memo, or interoffice note) and to take complete and accurate messages.
System
Skills:
- Ability to type and enter data at an entry level; basic understanding of applicable systems and medical terminology.
- Basic comprehension of insurance types and the referral process, registration and fiscal information.
- Knowledgeable and compliant with all hospital, state, and federal requirements (where applicable), including policy and procedures with The Joint Commission and HIPAA.
