Overview
Summary. Performs administrative functions to support smooth and efficient clinical service and practice operations. Performs administrative duties related to patient visits including scheduling, check-in, check-out duties (performs all duties of the other levels at highest proficiency level). Make patient appointments and maintain appointment records. Assist callers with routine inquiries and triage matters appropriately. Process patient billing forms and scan documents to patient medical record (EPIC).
Acts as "Super User" for scheduling, registration and billing systems. Provides assistance and training to others in these areas. May perform more complex or specialized functions (i.e. surgical scheduling, schedule changes/blocking) at more advanced competency level. Handles, screens and/or takes messages related to prior authorizations, provider questions, prescription refills, and test results. Additional responsibilities as assigned.
- Perform routine administrative and clerical duties relating to a clinical service or physician practice office. Make patient appointments and maintain appointment records. Assist callers with routine inquiries, and schedule appointments. Process patient billing forms and scan documents to patient medical record/LMR.
- Acts as "Super User" for scheduling, registration and billing systems.
- Provide assistance and training to others in these areas.
- May perform more complex or specialized functions (i.e. surgical scheduling, schedule changes/blocking) at more advanced competency level.
- Provide functional guidance to Office and Practice Assistants.
- In conjunction with Supervisor oversee daily activities of practice staff.
- May be required to accept co-payments. Handles, screens and/or takes messages related to prior authorizations, provider questions, prescription refills, and test results.
High School Diploma or Equivalent required.
Experience- Office experience 3-5 years required
Skills and Abilities
- Strong technology and MS Office skills - Advanced Outlook, Word, Excel, PowerPoint. Knowledge of office operations and standards and understanding of office procedures including filing, copying, scanning, printing and faxing.
- Ability to use phone system and manage non-routine phone calls and solve routine issues as appropriate.
- Communicating effectively in writing and verbally for the needs of the audience; conveying information effectively.
- Understanding written sentences and paragraphs in work-related documents, to correspond and communicate clearly (including composing/editing e-mails, memos and letters), and to take complete and accurate messages.
- Managing one’s own time and the time of others.
- Well organized with good time management to manage multiple tasks, follow established protocols, and work within systems.
- Ability to proofread and edit written documents.
