Overview
Unit Coordinator, General Med Surg Unit, M6E, 40 Hours (Days) w/ every other weekend/holiday — Boston Medical Center (BMC).
Location:
Med Surg, General Med Surg Unit, M6E
Schedule:
40 hours, Days, with every other holiday and every other weekend.
- Care of the Patient and Family/Visitors:
Provide timely information and appropriate responses to patient and family/visitor needs. Greet and direct patients, families, visitors and staff in a courteous, professional manner; identify self; provide non-clinical information as requested. - Front desk and clerical coordination:
Coordinate front desk/office support activities; perform clerical duties; answer and respond to telephone calls and inquiries; manage email and messages; respond to patient call lights promptly; triage calls as appropriate with the clinical team. - Medical records and data entry:
Use available computer systems to access, enter and verify patient information; print and fax reports; schedule appointments; verify information as needed. - Communication and documentation:
Maintain communication tools and logs (boards, sheets, labels); orient patients to their room and unit processes; initiate RN phone assignments and triage calls. - Patient belongings and discharge preparation:
Secure patient belongings; maintain a patient belongings list; copy list at discharge; file appropriately. - Discharge and scheduling support:
Monitor discharge orders and coordinate clinic appointments; assist with scheduling and documentation as required. - Unit operations and environment:
Manage mail, deliveries, access to hospital services; assist in transportation coordination; interface with multiple departments to ensure timely service delivery. - Finance and supplies:
Prepare for downtime materials; track and replenish supplies; manage daily unit charges and billing as needed; ensure inventory par levels are met. - Unit communications:
Manage alpha-numeric paging to physicians or staff; contact families as needed; assist with admissions, discharges and transfers by collecting required information. - Ad hoc duties:
Perform other clerical and office duties as required to support unit operations.
- Maintain accurate patient care records per hospital policy; prepare charts and labels; ensure complete medical records with appropriate documentation; manage charting workflow including discharge summaries and related forms.
- Label precaution charts and maintain signs; access and enter data for tests and results; book patient appointments and manage scheduling in accordance with policy.
- Coordinate test/procedure scheduling and communicate changes to patients, families, and staff.
- Maintain logs and unit databases (e.g., diets, census, supplies, physician coverage); ensure updated information is available at all times.
- Maintain downtime materials and be proficient with downtime procedures and related computer access.
- Maintain a clean, safe unit environment; perform daily rounds; coordinate cleaning and safety needs with appropriate staff.
- Log and track equipment issues; arrange repairs; manage inventory and supplies; use Lawson, RSS, Staples or similar systems for ordering as required.
- Assist with missing patient searches and maintain basic office equipment readiness.
- Adhere to hospital standards, policies, and regulations; work cooperatively with staff; seek supervisor guidance for conflicts.
- Seek feedback and participate in meetings, quality improvement, and training; stay compliant with required regulations (e.g., DPH, Joint Commission, OSHA).
- Maintain professional appearance and hospital ; assist in orientation of new staff; adapt to changing patient/unit needs; coordinate breaks and responsibilities with leadership.
- Follow infection control and safety procedures and participate in ongoing education to maintain competency.
Performs other duties as needed.
Education & Requirements- Requires a high school education or GED.
- Certificates, Licenses, Registrations:
Complete competency requirements as offered.
- Experience:
One to two years of clerical experience; healthcare setting preferred.
- Knowledge and
Skills:
Proficient in English (spoken and written); multilingual skills preferred. Ability to interpret medical terminology; proficiency with Microsoft Office and hospital systems; ability to use and troubleshoot basic office equipment; strong interpersonal and organizational skills; ability to prioritize and manage tasks efficiently; physical ability to meet job requirements.
Range: $19.35 - $26.04 per hour. This range is an estimate; final offer depends on qualifications and institutional policies. BMCHS provides a comprehensive total compensation package including benefits and work–life programs.
