Find out why joining the growing BILH team matters. The Administrative Assistant III supports the Hematology Oncology Department (Hematologic Malignancies & Bone Marrow Transplant) handling clinical, academic, research and leadership tasks.
Job DescriptionProvides administrative support to physicians in their clinical, academic, research, and leadership roles.
Essential Responsibilities- Answers and screens telephone calls, takes messages or directs calls to the appropriate person. Greets and directs patients, families, visitors and staff; responds to requests in a timely manner providing accurate information within scope.
- Updates patient demographics and insurance information, obtains specialist referrals for appointments. Schedules patient appointments using scheduling tools, coordinates ancillary appointments and procedures working with other hospital staff as needed.
- Obtains patient information and materials from referral sources, prepares patient records for clinical activities, maintains records for physicians, acts as liaison with other departments and external customers, handles confidential information appropriately and explains policies when necessary.
- Manages physician administrative and clinical calendars; types correspondence, manuscripts, and documents; transcribes letters and patient notes; prepares materials for meetings and committees.
- Assists licensed practitioners by queuing prescriptions for renewal and reviewing medication listings for accuracy in the electronic medical record (Web OMR).
- High School diploma or GED required;
Associate's degree preferred. - 3‑5 years related work experience.
- Experience with computer systems, web‑based applications, and Microsoft Office (Outlook, Word, Excel, PowerPoint, Access).
- Written communications: clear, effective written English.
- Oral communications: comprehend and converse in English with medical center staff, patients, families, and external customers.
- Knowledge: full working knowledge of standard concepts, practices, procedures and policies; ability to use them in varied situations.
- Team work: work collaboratively in small teams to improve operations; offer ideas, identify issues, respect team members.
- Customer service: provide high level of customer service to patients, visitors, staff, and external customers; remain calm in stressful situations.
- Sedentary work: exerting up to 10 pounds of force occasionally; sitting most of the time with walking and standing required only occasionally.
$21.63 – $29.11 hourly. Base hourly wage range; compensation may exceed base rate depending on shift differentials, call pay, premium pay, overtime pay and other applicable pay practices.
