Job Profile Summary

This role focuses on providing administrative and business support to the organization in order to achieve operational goals. It performs general administration duties such as producing documents, collecting, recording, sorting and filing information, handling mail, preparing routine reports, making travel arrangements, arranging appointments, responding to inquiries, data entry, and operating office equipment. The majority of the time is spent delivering support services or activities, typically under supervision.

The position requires basic knowledge of job procedures and tools obtained through work experience and may require vocational or technical education. Works under moderate supervision; problems are typically routine but may at times require interpretation or deviation from standard procedures and require communication that needs some explanation or interpretation.

Job Overview

This position coordinates the flow of patient activity and information on the unit/practice areas, based upon currently approved policies and procedures recognized by the hospital. Under clinical leadership it performs a variety of clerical duties, acts as a liaison to all departments, and serves as the communication link between patient care, customer service, and the unit.

Minimum Qualifications
  • High school diploma or equivalent.
Preferred Qualifications
  • One (1) year of customer service experience in a healthcare or customer‑facing setting.
  • Associate’s degree.
Duties and Responsibilities
  • Remain in constant communication with admissions regarding the status of all patients including transfers, admissions, discharges, bed changes, bed cleaning requests, and potential changes throughout each shift.
  • Review bed assignments and relay this information to clinical staff.
  • Receive, greet, and direct patients, visitors, physicians, and hospital personnel arriving on or calling the patient care unit in a manner consistent with service excellence expectations and hospital standards of behavior.
  • Initiate, assemble, and maintain patient charts on the assigned unit in functional order according to hospital policy; file pertinent data in the patient’s record and prepare charts for Medical Records upon discharge.
  • Prepare and maintain medical records, labeling patient names on admission forms, filing all paperwork, sorting EKGs, X‑rays, pathology reports, operative notes, progress notes, consultations, and other documentation for current, discharged, and transferred patients.
  • Label patient names and update bed boards, bedside charts, and computer information, including diet, condition, allergies, height and weight for new and current patients.
  • Transcribe physician orders to appropriate information sites such as the Sorian system, nursing kardex, MAR (Medication Administration Record), intervention sheet, diet sheet and other documents, and complete necessary follow‑through.
  • Support efficient communication for the nursing unit by promptly answering the phone, triaging calls, and relaying messages to staff using appropriate etiquette; coordinate communications regarding outside services, transfers (internal or external), discharges to another facility, and physician changes as they occur.
  • Utilize hospital computer systems accurately to enter orders, verify orders, retrieve data, and generate reports; report malfunctions to the help desk.
  • Collaborate with case management staff, social workers, and nursing staff to facilitate follow‑up appointments within the hospital or upon discharge.
  • Coordinate communication during emergency situations or STAT requests or orders.
  • Follow through with orders that could not be completed during the off‑shift and on weekends.
  • Coordinate unit activities during electronic downtime.
  • Facilitate timely delivery of time and attendance records.
  • Monitor availability and documentation of forms, materials, supplies, and equipment inventory; track and return rental equipment.
