Billing Specialist

We are seeking a Senior Billing Specialist to manage invoicing, payment collection, and financial oversight for a varied portfolio of sponsored projects. This position also provides guidance and operational support to team members and contributes to smooth cash management workflows.

• Oversee billing and collections activities for sponsored projects, ensuring accurate invoicing, timely payment follow-up, and proper account reconciliation.
• Review account activity regularly, partnering with internal departments and external partners to resolve billing discrepancies while maintaining strong working relationships.
• Interpret award documents to determine billing requirements and submit invoices through multiple electronic platforms.
• Work with leadership on strategic initiatives, perform detailed data analysis, and support ongoing improvements to departmental processes and reporting.

• Bachelor's degree in a relevant discipline.
• 5-8 years of professional experience
• Exceptional organizational skills, including the ability to manage multiple priorities and respond to both routine and urgent needs.
• Strong written and verbal communication abilities.
• High attention to detail and strong analytical problem-solving capabilities.
• Proactive and diplomatic, with experience guiding others and improving processes.
• Intermediate Excel skills, including use of complex formulas for data review and analysis.
• Ability to work independently as well as collaboratively within a small, supportive team.

Determining compensation for this role (and others) at Vaco/Highspring depends upon a wide array of factors including but not limited to the individual's skill sets, experience and training, licensure and certifications, office location and other geographic considerations, as well as other business and organizational needs.
