Schedule: M-F with occasional Saturdays + (additional planning hours as needed)

Position Overview

The Program Coordinator supports the day-to-day operations of student programs held on Saturdays, ensuring smooth and efficient execution of logistics, onboarding, materials management, and event coordination. This role plays a key part in maintaining organized systems, preparing instructional materials, and supporting both students and instructors during program sessions.

The ideal candidate is highly organized, detail-oriented, and comfortable managing multiple tasks in a fast-paced educational environment.

Key Responsibilities
  • Coordinate event setup and breakdown for Saturday program sessions.
  • Assist with packing and organizing carts and materials for instructional use.
  • Manage session-day logistics, including catering coordination and student check-in.
  • Ensure classrooms and materials are prepared prior to program start.
  • Support new student enrollment processes and documentation tracking.
  • Assist in setting up and managing Google Classroom for program participants.
  • Provide onboarding support to students and families as needed.
  • Coordinate supply needs with program instructors and support supply orders.
  • Create and maintain a Spring semester tracking system for enrollment, attendance, and program milestones.
  • Maintain accurate program documentation and internal records.

    Support communications and outreach efforts related to program activities.
Qualifications
  • Minimum of 2 years of administrative and/or communications experience.
  • Proficiency in Microsoft Office and Google Drive/Google Classroom.
Preferred Skills & Experience
  • Strong written, verbal, editing, and proofreading skills.
  • Exceptional organizational and multitasking abilities with proven deadline management.
  • Superb attention to detail and strong analytical/problem-solving skills.
  • Demonstrated ability to collaborate with diverse teams and stakeholders.
  • Flexibility and adaptability in a fast-paced, rapidly changing work environment.
