Executive Assistant – Client Operations

This position will report to the VP of Operational Excellence and provide support to two Client Operations Team Managing Directors (Harbour Vest’s Treasurer and Harbour Vest’s Head of Investment Accounting) along with three members of the Client Operations Leadership team. The individual will work in close collaboration with the executive assistant to the firm’s Head of Client Operations.

This position is a hybrid work arrangement: you will receive 18 remote workdays per quarter, subject to manager approval.

What you will do
  • Manage Outlook calendars, schedule meetings, and resolve scheduling issues across multiple geographies and time zones.
  • Coordinate travel arrangements (domestic & international) including flights and hotels; troubleshoot if unexpected changes arise.
  • Consolidate and submit expense reports as requested.
  • Assist in coordination and creation of presentation materials.
  • Support logistics for meetings, offsites, teambuilding, etc.
  • Provide general administrative support to ensure smooth daily operations.
What you bring
  • Ability to work independently and as part of a team.
  • Thorough knowledge of Microsoft Office Suite and proficiency in PowerPoint and Outlook; experience with Concur a plus.
  • Strong focus on detail; resourcefulness and adaptability.
  • Strong organizational and problem‑solving skills, with the ability to handle tasks efficiently and accurately.
  • Sound judgement and professionalism when interacting with all levels of the organization.
  • Excellent written and verbal communication skills.
  • Familiarity with financial/investment terms and concepts a plus but not required.
Education Preferred
  • Associate’s degree.
Experience
  • 5‑8 years’ experience in similar capacity preferred.
Salary Range

$83,000.00 – $. This USD base salary range represents only one component of total compensation for this role and is provided in accordance with local requirements. This role is eligible for a discretionary annual bonus, which is determined based on individual and overall firm performance. In addition to salary and bonus, total compensation may include eligibility for long‑term reward programs and a comprehensive total rewards package that may include retirement, health, insurance, paid time off, and wellness programs.

Our total rewards offerings are influenced by several business factors, and eligibility for certain components will vary by position and geography. Please note the posted ranges do not apply outside the U.S. and should not be converted to other currencies as a proxy for compensation in other countries. This position is non‑exempt and therefore eligible for the payment of overtime.
