Job Role

We are seeking a Site Security & Operations Coordinator to support daily site operations, including scheduling and appointment flow, office and safety management, and overall site organization. This role acts as a central point of contact for site leadership, clinicians, research staff, participants, and visitors. Core functions include managing security protocols, controlling facility access, monitoring visitor entry, and ensuring compliance with safety procedures in accordance with organizational policies.

The coordinator helps maintain a safe, organized, and welcoming environment for both participants and staff.

Key Responsibilities
  • Welcome and check in participants and visitors on main floor, escorting participants when appropriate, ensuring a positive experience and supporting smooth visit flow with timely communication to research staff.
  • Foster a collaborative and professional working relationship with building security personnel to support a safe, secure, and efficient environment for staff, participants, and visitors.
  • Collaborate with building operations team and serve as point of contact for safety and operational incidents.
  • Manage visitor registration and update daily visitor log in conjunction with site staff.
  • Maintain a safe, secure, and professional environment by monitoring behavior, managing access, and responding to safety incidents in coordination with site leadership and clinical staff.
  • Support participant engagement through appointment reminders, scheduling and rescheduling, and transportation coordination.
  • Manage site communications, including the main phone line, voicemail routing, and operational updates to administrative and research teams.
  • Provide administrative support with study data metrics, regulatory and start‑up activities, budget and contracts invoicing, and training tracking and reporting.
  • Other duties as assigned.
What Success Looks Like
  • Strong organizational skills, attention to detail, and the ability to manage multiple priorities effectively.
  • Excellent written and verbal communication, including professional phone and email etiquette.
  • Strong customer service and interpersonal skills, with cultural competency and the ability to maintain a welcoming, professional environment.
  • Proficiency with Microsoft Office Suite and comfort working in a regulated clinical setting with sensitive data.
  • Sound judgment and the physical ability to support site operations, including standing, walking, and occasionally lifting or moving supplies.
Pay

$24.00 - $32.00 per hour
