We are seeking a highly skilled and experienced Executive Assistant to serve as the strategic partner and right hand to our Global Managing Partner. This role offers the opportunity to support a visionary leader at the center of our firm’s continued expansion while contributing to high-stakes operations in a dynamic, fast-paced professional environment.
Responsibilities- Strategically manage complex, multi-time-zone calendars across global offices and international clients; proactively resolve scheduling conflicts and optimize the Managing Partner’s time with limited direction.
- Coordinate domestic and international travel arrangements, including itineraries, visas, accommodations, and last-minute adjustments while ensuring seamless execution.
- As needed process and reconcile expenses, pre-bills, and financial logistics with precision; support billing coordination and maintain strict confidentiality across sensitive client matters.
- Draft, edit, proofread, and prepare high-level correspondence, presentations, meeting materials, and confidential documents; demonstrate exceptional document production and technological proficiency.
- Serve as gatekeeper and primary point of contact for internal and external stakeholders, including clients, partners, courts, and professional organizations; triage inquiries and facilitate superior client service with a proactive, professional approach.
- Organize and support internal and external meetings, including virtual platforms (Zoom, Microsoft Teams, etc.) and all required logistics; anticipate briefing needs for high-level engagements, board matters, and client negotiations.
- As needed provide coverage support for other executive assistants and collaborate on firm wide employee engagement initiatives
- Monitor and prioritize email inboxes and workflow; organize documents and communications while maintaining up-to-date client and matter information.
- Anticipate needs, suggest process improvements, and handle assignments independently with strong attention to detail and sound judgment.
- Collaborate with global teams to support firm initiatives and contribute to operational excellence.
- Minimum of 5 years of Executive Assistant experience supporting C-suite executives, Managing Partners, or senior leaders; prior law firm experience preferred
- Bachelor’s degree or equivalent professional experience; strong interpersonal skills and a proactive, solutions-oriented mindset.
- Expert proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (Microsoft Teams, Zoom); familiarity with legal software or billing systems is a plus.
- Exceptional organizational skills with the ability to seamlessly manage multiple priorities, meet tight deadlines, and thrive in a fast-paced, dynamic environment.
- Outstanding written and verbal communication skills; polished professional presence and the ability to interact effectively with global partners and clients.
