Position: Legal Administrative Assistant (ACAP)

The Office of Bar Counsel in Massachusetts (OBC) investigates and prosecutes ethical misconduct by Massachusetts attorneys, educates attorneys on the Rules of Professional Conduct, and strives to better the profession.

Position Summary

As a legal administrative assistant supporting the attorneys and investigators in the Attorney and Consumer Assistance Program ("ACAP"), the intake unit of the Office of the Bar Counsel, you will work in a fast-paced, but collegial, mission-driven work environment. You will work closely with the ACAP Director to develop workflows that allow you to efficiently process and document the high volume of telephone calls and written correspondence alleging attorney misconduct that ACAP receives each year.

Based upon the initial intake information obtained and researched by you, the ACAP Director will assign complaints to experienced attorneys and investigators who form the ACAP team, and you will provide administrative support to them as needed. The Legal Administrative Assistant will create, update, and maintain critical electronic records, and interface with other departments as needed. The position reports to the Director and to the Administrative Assistant Supervisor on administrative matters such as training, coverage schedules, and time‑off.

Job Functions
  • Assists ACAP Director in ensuring established workflows are followed and aids ACAP team in meeting deadlines. Processes and dockets incoming telephone calls and correspondence, as well as outgoing correspondence, using the document management system.
  • Using the document management system, researches complainants’ and attorneys’ prior contacts with the office, their registration status and their disciplinary history.
  • Enters accurate data into the electronic document management system.
  • Performs online research of court cases.
  • Promptly assigns telephone calls and written complaints and correspondence as instructed by the ACAP Director.
  • Prepares documents, including letters for mailing, as assigned. Proofreads prepared materials for correct grammar, spelling, punctuation, format and consistency.
  • Scans and photocopies documents and transcribes voicemail messages as needed.
  • Interfaces where needed for follow‑up on open action items with all departments of the Board of Bar Overseers.
  • Must maintain the confidentiality of the information obtained through work.
Other Duties and Responsibilities

Performs additional duties, including administrative and clerical tasks, as assigned.

Skills and Abilities

All candidates will possess a high school diploma or equivalent, and demonstrate competent written and oral communications skills. A minimum of two years’ office experience preferred. All candidates will demonstrate the ability to work accurately and thoroughly in a fast‑paced, deadline‑driven environment, and be able to work effectively as a team with others. All candidates will also demonstrate proficiency with Microsoft Office Suite (including Microsoft Word, Adobe Acrobat and Outlook) and Salesforce or similar software, and will possess transcription and proofing abilities.

Working Conditions/Physical Demands
  • The Office of Bar Counsel currently operates in a hybrid work environment.
  • Normal office working conditions, including frequent sitting, standing, walking, and computer monitor use. Occasional lifting up to 50 lbs.
